Examples

A furnace swap invoiced before the deposit

You run a heating company. On August 29 you finish a $5,400 furnace swap at a veterinary clinic and send the invoice that day; they pay September 16. On accrual basis, August sales include the $5,400 and accounts receivable increase $5,400, then September only clears AR when the deposit hits checking. In QuickBooks Online or Xero, date the invoice August 29, not the day the bank feed lands. If you wait for the deposit to book the sale, August understates work you already finished.

Shingles used before the vendor bill arrives

Your roofing crew pulls $2,150 of shingles from a building supplier through March 31. The bill is dated April 2. On accrual basis you enter that bill in March, or you accrue it at March 31, so materials expense and accounts payable sit in March. On cash basis you would wait until you pay that supplier, and March would ignore the shingles. In QuickBooks Online, keep the report basis on Accrual when you close March, and do not park that supplier's bill in April just because that is when the PDF arrived.

Why it matters

You pick this method once, then every invoice, bill, and prepaid charge follows it. Accrual basis assigns income to the accounting period you earned it and expenses to the period you incurred them, even when the cash is prepaid or still unpaid. You live with this every close if you invoice customers or enter vendor bills. Treat the bank feed as the whole story, or run cash basis reports while you think you are looking at accrual, and profit becomes whoever paid you that month, not the work you did.
