How we rank software
Our rankings exist to answer one question: which tool should you actually pick? Scores are the editorial judgment of the BookkeepDIY Editorial Team, based on hands-on time with the tools, vendor documentation, and the way our readers actually work, whether that's a freelancer doing their own books or a team of fifty. No vendor pays for placement, and affiliate links never affect a score or a rank.
Three scores, one rank
Every tool gets three scores from 1 to 10: features, ease of use, and value. The overall score blends the three, and tools are ranked by overall score.
Features
Does the tool actually do the job the page ranks it for? We weight the tasks you'd run every week over demo-friendly extras. A long feature list scores nothing if the core workflow is clumsy.
Ease of use
Software fails when people won't use it. We score how fast you can get the everyday task done, how much setup and training it takes, and how much ongoing admin it creates.
Value
Total cost against what you get: subscription fees, per-user or per-use charges, and the hours the tool saves or creates. Free tools can score poorly here if they push work back onto you.
What the badges mean
Each tool carries exactly one badge. Best overall goes to the highest-scoring tool on the page. The rest, like Best value, Easiest to use, or Best for freelancers, flag the specific situation where that tool beats the tools ranked above it. A #4 tool with the right badge can be the right pick for you.
Honest limits of this process
- Scores are judgments, not lab measurements. Two reviewers could defensibly land half a point apart.
- We evaluate for US freelancers and small businesses, from solo operators to teams of about 50. Enterprise or international needs may rank differently.
- Tools change. We re-check rankings when vendors ship meaningful updates or change pricing, and every page shows its last-updated date.
How we make money
Some links on ranking pages are affiliate links, which may earn us a commission at no cost to you. Rankings and scores are locked before any affiliate relationship is considered, and tools without affiliate programs are ranked on equal footing. Several of our top picks earn us nothing.
