Camp invoices sit on the youth director's title
You run a climbing gym. Your youth director directs the youth program. On June 3 you invoice a family $480 for the July camp and code it in QuickBooks Online or Xero to Youth Program Fees, not Gym Memberships. The youth program is the cost center she runs; Youth Program Fees is the activity account, the income title she is responsible for. Open that register and the $480 is on her P&L line; dump it into Memberships and she cannot see or control the revenue she is judged on.
The checking feed is not an activity account
In November your commercial cleaning company's credit union feed shows a $275 charge from a cleaning supplier on the 18th, plus payroll ACH and customer deposits. That list is bank activity, not an activity account. Recode that supplier's line to Night Crew Supplies, the expense title the night-crew lead controls. Leave $275 on Checking and he has no P&L line to review; treat the whole feed as the activity account and you have mixed cash with the supervisor's results.
Why it matters
You need this when someone other than you is responsible for a slice of the P&L. An activity account is the income or expense title that supervisor owns, so their bills, invoices, and payroll stay on one line you can review. You add those titles once in the chart of accounts and code to them whenever that activity hits; a one-person shop may wait until a manager takes a department. Dump the lines into a shared category and you cannot tell who controlled the spend; the bank feed is cash movement, not the P&L account a supervisor is judged on.
