You run a custom stair-rail shop. On October 8, a steel supplier bills $3,420 for 240 feet of 1.5-inch round bar and flats that will become the rails. Enter the bill in QuickBooks Online or Xero to Raw materials, an inventory asset, not to supplies expense. On October 21 you issue $1,140 of that bar to start a porch rail: the stock is cut and tacked but not welded out, so you move $1,140 from Raw materials to goods in process. The leftover $2,280 stays in Raw materials on the October 31 balance sheet until you pull more bar.

You run a pickle kitchen. At the July 31 count, 96 sealed, labeled pint jars sit boxed for a wholesale drop, and the batch ticket is $864 of cucumbers, brine, and lids already converted. Someone parks the $864 in Raw materials because the produce started there. Those jars can ship, so they belong in finished goods; Raw materials is only unused cucumbers, salt, and empty jars still in the cooler. In QuickBooks Online or Xero, move the $864 to Finished goods so July inventory does not look like unused inputs while the shelf holds sellable stock.

Why it matters

Raw materials is the inventory account for unused inputs that become the product. You will post it on every materials buy and every issue to the shop if you manufacture or assemble; a reseller who only buys ready stock almost never will. Those costs stay on the balance sheet until you pull them into a job. Expense unused stock on arrival and the month looks weaker while the bins are full; park completed units here instead of finished goods and you hide sellable inventory; dump unused inputs into goods in process and you overstate work already on the floor.
