Our take

Best for
A small US bookkeeping or tax firm that wants jobs, client requests, time, and its own invoices in one place, with QuickBooks Online as the ledger.
Not ideal if
A firm whose clients are on Xero and expects the same live books connection QuickBooks Online gets, or an owner who wants categorization included without buying Month-End Close.
Standout
Month-End Close reviews a client's QuickBooks Online file inside the same system that already holds the job, the portal request, and the firm's invoice.

About Financial Cents

Financial Cents is the operating system for a small accounting or bookkeeping firm. You build a workflow once for bookkeeping, tax, payroll, or client accounting work, and the next job can assign itself with due dates. Clients upload files, message you, and e-sign in a portal. You start a timer on the task, send the invoice, and take an ACH or card payment. Connect the firm's QuickBooks Online Accountant file and clients, service items, time, invoices, and payments can sync. Reviewing a client's books is a separate Month-End Close add-on: it flags transactions and pushes approved edits back to that client's QuickBooks Online company file.

Double is the firm tool in this directory that works on the live QuickBooks Online or Xero file and is built for the close. Financial Cents is the practice layer around that file: jobs, CRM, portal, proposals, and the firm's own invoices. TaxDome and Canopy cover a similar practice layer with tax-season intake. Botkeeper categorizes the client's bank feed. Financial Cents does not replace the ledger, and Xero is not a native books sync.

Firms stay because the owner can see every job, every handoff, and unbilled time without opening a spreadsheet, an inbox, and a separate billing app. Templates carry the steps a new hire would otherwise learn by asking. Client reminders go out until the document shows up. The books still live in the client's accounting file.

Pricing

Solo is $19 per month billed annually and stops at one user. Five people on Team annual are $245 per month. The same five on Scale annual are $345 per month. Monthly billing is $69 (Team) or $89 (Scale) per user, requires five users, and is still a 12-month agreement. Month-End Close is another $5 per client per month billed annually, so 20 client files add $100. One client can be tried free. KBA signatures are $1 to $2 each. Card and ACH rates were not on the pages opened. A 14-day trial does not require a card.

Without the add-on, month-end is a checklist, a document request, and time on the job. With Month-End Close you review transactions, W-9s, and reconciliation dates in Financial Cents and push approved changes back to that client's QuickBooks Online file. Profit and loss and balance sheet views are marked beta, and cash flow and aging reports are listed as coming soon. You still lock the period in QuickBooks.

You can hand a client the portal, signed documents, and the invoice. On Scale, returns from Drake, UltraTax, ProConnect, ProSeries, and CCH Axcess can print into the client file, and Adobe Sign can run the identity check used for Form 8879. Financial Cents is not the tax software.

Features

Recurring jobs from a template
Build a workflow for monthly bookkeeping, tax, or payroll. Financial Cents creates the next job, assigns tasks by client or role, and rolls due dates forward. Solo is limited to 5 work tags or statuses. Team, Scale, and Enterprise list unlimited tags and statuses.
Client portal requests and e-sign
Send a request. The client uploads, messages, and e-signs without a password, and reminders go out until they respond. A branded portal is on Scale. E-sign is on every plan. Knowledge-based authentication for Form 8879 is a separate charge of $1 to $2 per check, depending on package size.
Time, proposals, and invoices
Start a timer on the task. Bill hourly, fixed fee, project, or retainer. A signed proposal can create the workflow, the client record, and the recurring invoice. You can lock a deliverable until the invoice is paid. Integrated email, so client messages sit on the job, starts on Team. Solo does not include it.
Sync the firm's QuickBooks Online file
Connect QuickBooks Online Accountant. New and edited clients flow into Financial Cents. A client added in Financial Cents is not created in QuickBooks Online. Time entries sync both ways. A sent invoice is created in QuickBooks Online and marked paid when the client pays in Financial Cents. This sync is listed on every plan, including Solo.
Month-End Close on the client file
Add-on on any plan: $5 per client per month, billed annually. One client can be tried at no charge if you already pay for Financial Cents and have no close licenses yet. You categorize transactions, request W-9s, note reconciliations, and push approved changes to that client's QuickBooks Online file. Profit and loss and balance sheet views are marked beta. Cash flow and aging reports are listed as coming soon.
Scale automations and tax-file print
Scale adds task dependencies, automatic client follow-ups, a shared inbox, Zapier, an open API, and two-way Google Drive and OneDrive. Returns from Drake, UltraTax, ProConnect, ProSeries, and CCH Axcess can print into the client file. Xero is not a native books sync: Zapier, which is Scale only, can create a Financial Cents client from a new Xero contact.
