Our take

Best for
A bookkeeping or accounting firm that wants every staffer in the job system and would rather pay by client count than by seat.
Not ideal if
A US firm that needs QuickBooks Online transaction coding, firm invoicing, or tax organizers inside the practice tool.
Standout
The price is one firm fee tied to how many clients you store, and adding a person does not add a seat.

About Pixie

Pixie is practice management for an accounting or bookkeeping firm, sold as one workspace for the whole team. You store each client with custom fields and a timeline of email and documents. Jobs can start from dates on that record, with an internal target ahead of the compliance deadline. A step in the job can hold a checklist, a video, or an email template, so a new hire follows the same path. Automations can create the next recurring job, assign it, ask a client for statements, or send a date reminder. Clients use a portal to exchange files, complete tasks, and e-sign. The admin help page documents Companies House for UK firms and a Zapier connection, including GoProposal and Practice Ignition. It does not document a native QuickBooks Online or Xero books sync.

Double connects the client's QuickBooks Online or Xero file and is built for the close. TaxDome and Canopy add US tax intake, firm billing, and a portal on a per-seat plan. Botkeeper categorizes transactions on the ledger. Pixie is the job, the client record, and the portal. The bill is one amount for the firm, based on how many clients you store, and extra staff do not add a seat.

Firms stay when they want every person on the same system without arguing about who gets a login. Prebuilt templates and a migration of client records are how they start, and the homepage says an account manager helps with that setup. Deadline tracking is an internal target versus the filing date, which matters when the work has to finish before the deadline, not on it.

Pricing

The pricing page shows $129 per month under 250 clients, $199 for 251 to 500, and $329 for 501 to 1,000, each with unlimited users. Over 1,000 is POA. A 30-day trial is on that page. You are not bumped the moment you add a client: monthly plans are reviewed on the quarterly anniversary, annual plans before renewal, and Pixie contacts you first. The company is in London. The page shows dollars, not pounds, and no second currency was in the HTML. No card fees were listed.

You can run the monthly job, chase statements, and store the emails. Pixie does not describe reading or posting the client's QuickBooks Online or Xero transactions. The close still happens in the ledger.

You can hand a client the portal, the signed documents, and the job history. Companies House dates are a UK filing aid. A US organizer, 1099 workflow, or tax-software binder was not described.

Features

Start recurring jobs from client dates
Store the dates that drive the work, then let Pixie create the next job and assign it. You can track an internal target separately from the compliance deadline. Auto-reminders and client tasks are listed on every priced tier. The feature list does not split by plan.
Put the procedure on the step
Add a checklist, a link, a training video, or an email template to a job step. Staff follow that step whether they are in the office or remote. The homepage says you can add as many team members as you need without an extra seat charge.
Keep email and files on the client
Custom fields hold the details you actually need. The client record keeps a timeline of email and documents. The portal is described as GDPR-compliant and is used to send and receive files, assign client tasks, and collect e-signatures.
Connect UK filings and proposals
Workspace admins turn on Companies House or Zapier under Settings, Integrations. Companies House is for UK firms: search by registration number, import the client, and update dates. Zapier uses an API key and account name. The help article's examples are GoProposal and Practice Ignition, not QuickBooks or Xero.
Move the client list in with templates
The pricing page includes starter workflow templates, a template marketplace, a migration process, live chat, and self-serve training on the flat fee. The homepage says an account manager helps migrate client records and set up automations. A 30-day trial starts from the pricing page.
