About Rippling
Rippling is a workforce platform (HR, IT, payroll, and spend), not a ledger. You keep the employee record in Rippling. You run payroll there: it calculates withholdings, pays by direct deposit or check, and files federal, state, and local payroll taxes in all 50 states. After you map pay types to your chart of accounts, Rippling posts a payroll journal into QuickBooks Online or Xero. Spend (cards, expenses, bill pay) can sync coded card charges and bills into the same file. You still close and lock the period in those books.
It does not replace QuickBooks Online or Xero. Gusto is the narrower US payroll pick with a published base-plus-headcount price and a mapped journal. OnPay is the other published-price payroll pick and includes all-50-state filings in that base. Ramp is the free card program if you already have payroll elsewhere. Deel is the global hire-and-pay layer if the job is people abroad, not devices and cards. Kick is the replacement ledger.

After each run, review the Rippling journal in QuickBooks Online or Xero. Match it to the lump bank debit, clear tax and benefit liabilities, and lock the period in the ledger. Coded card charges and bills can sync on the same connection. Unmapped new pay types are a setup risk. QuickBooks Desktop is not named on the official integrations FAQ.
Invite the accountant through Rippling for Accountants, or send the QuickBooks Online or Xero file. Rippling files W-2s, 1099s, and payroll taxes. The CPA still needs the ledger file for the rest of the return. Rippling does not produce a year-end tax package.

Run payroll as often as you want. Unlimited US runs, including off-cycle, are included in native payroll countries. Rippling withholds, pays by direct deposit or paper check, and files federal, state, and local payroll taxes in all 50 states. Payroll is an add-on. You cannot buy it without the required Platform.
Sync the journal to QuickBooks Online or Xero
Connect from Payroll, map pay items to accounts (and Xero tracking categories), and Rippling posts a journal after each run. Official integrations also name NetSuite and Sage Intacct. Card spend and bills can sync coded lines into the same file. You still lock the period in the ledger. QuickBooks Desktop is not named on the official integrations FAQ.
Issue cards and chase receipts
Issue physical and virtual Visa cards (Fifth Third Bank or Celtic Bank, subject to approval). Lock a card to a person, vendor, category, or cap using the employee record. After a swipe, Rippling can text or email for the receipt. No personal credit check or personal guarantee. Sole props are not eligible.
Onboard payroll, a card, and app access from one hire
Click onboard. The hire enters tax and bank details. Rippling can add them to payroll, issue a card, and provision third-party apps. Device shipping sits on the IT module if you buy it. Most small shops take 1–3 weeks to go live, with three implementation calls and the first payroll run included.
Pay contractors and issue W-2s and 1099s
Pay US employees and contractors from the same payroll product. Rippling generates digital W-2s and contractor 1099s and files with tax authorities. Print-and-mail is a small unpublished fee. Global contractor and EOR payroll are separate quoted products.
Bill pay into the same close
Vendors send invoices or you drop them in. Rippling captures fields, routes approvals from employee data, and pays by ACH, check, or wire. Coded bills sync to the accounting connection. This is Spend, not the ledger.
Pricing
A 5-person shop cannot self-serve a cart total. Official /pricing is a quote form. The small-business page publishes $8 per user per month plus a $40 monthly base ($80/month at 5 users) and does not say which modules that includes. Rippling's June 2026 payroll article prices the required HRIS at $8 PEPM and domestic payroll at $8 PEPM billed annually ($10 monthly), so 5 people are $80/month annually or $90/month month-to-month before any separate $35 or $40 base if sales still applies one. Official Spend blogs publish $11 or $14 PEPM. Treat $80–$150/month as the published payroll-adjacent floor, then get the quote. IT, benefits, global payroll, PEO, print-and-mail W-2/1099 fees, and foreign card fees are extra. Qualified venture-backed companies can get 6 free months (promo).
