Vinyl
An AI meeting assistant for accounting and bookkeeping firms that files notes and action items against the client.

Our take
- Best for
- Accounting and bookkeeping firms that want meeting notes tied to the client and pushed into Karbon, FYI, or Xero Practice Manager.
- Not ideal if
- A firm that needs the close, the portal, or the engagement letter done inside the notetaker, or a team that lives in Karbon work items rather than timelines.
- Standout
- Unlimited users on a shared hour pool, with notes posted to one practice system instead of a generic recording folder.
About Vinyl
Vinyl joins a Zoom, Microsoft Teams, or Google Meet call, or you record an in-person meeting in the iOS app. It writes notes, discussion points, and action items, organized by client, contact, and group. You can draft a follow-up in Gmail or Outlook. A summary can go on the Karbon timeline, and the integrations page says FYI can take notes and actions too. Xero Practice Manager currently sends clients, contacts, and groups into Vinyl. Posting the summary back to XPM is marked coming soon. Only one of those practice connections can be on at a time.
Double (formerly Keeper) is the close workspace on QuickBooks Online or Xero. Canopy and TaxDome run jobs, documents, and billing. Vinyl does not do that work, and it does not post journal entries. It keeps the conversation, then hands a note to the tool the firm already uses. Karbon gets a timeline entry, not a new work item, and a note you edit in Vinyl after the push does not update Karbon.
People stick when the promise from the call is searchable by client, not buried in a recording named by date. The whole firm can be on one subscription, with an hour pool rather than a seat fee. You still review the note before it is the record the team trusts.
Pricing
Plan cards show Starter $89 for 20 hours, Growing $249 for 60 hours, and Scaling $649 for 150 hours, all per month with unlimited users. Extra minutes are printed as 18c, 16c, and 14c. The usage estimator on the same page recommended £49 a month for a 20-hour Starter plan, and the page has USD, GBP, and AUD toggles, so confirm which currency you are looking at before you budget. A high-volume plan is quote-only. The site says Start for free, but the pricing cards do not spell out a free hour allowance or a trial length.
Starter
Dollar amount on the plan card for small teams. The same page's estimator showed £49 for a 20-hour Starter plan, so check the currency toggle.

Month-end close does not move. Vinyl can leave a note on the client in Karbon, FYI, or Xero Practice Manager. It does not code transactions or post journals.
You can share meeting notes and action lists. That is not a trial balance, a workpaper set, or a tax return.
Features
- Join the call or record it in the room
- Connect a calendar and Vinyl can join Zoom, Teams, or Google Meet. The iOS app records in-person meetings. Pricing cards include the mobile app on Starter, Growing, and Scaling.
- Notes and actions by client
- Summaries break out discussion points and action items, including by entity when one meeting covers more than one. Meetings are organized by group, client, and contact so the next person can search them.
- Push notes to one practice system
- Karbon, FYI, and Xero Practice Manager are on every published plan, and only one can be connected at a time. Karbon syncs contacts in and posts a summary to timelines. New Karbon connections default to manual sync. Vinyl does not create Karbon work items, and later edits in Vinyl do not update the note already sent. XPM syncs clients into Vinyl. Writing notes back to XPM is marked coming soon.
- Draft the follow-up email
- From the same meeting you can draft a client email in Gmail or Outlook. The pricing page also lists an accounting prompt library in AI chat. Pre-meeting agendas, a scheduling app, and screen recording are marked coming soon, so they are not current features.
- Read the meeting for extra work
- Vinyl flags things clients say that could be more work, such as a bookkeeper leaving or a cash-flow problem, and can pair a meeting with Anchor or Ignition when you want a proposal draft. The Anchor page says that suggestion uses the services and prices you already keep in Anchor.

Audience
Pick something else instead of Vinyl
Double
Pick Double instead if the work you need done is the client close on QuickBooks Online or Xero, not the meeting note.
TaxDome
Pick TaxDome instead if you need the portal, pipeline, and billing, and a notetaker would be a second login.
Canopy
Pick Canopy instead if the gap is tax workflow and document requests, not remembering what was said on the call.
