QuickBooks Online versus Xero: Which to Choose?

QuickBooks Online and Xero are both the ledger. You connect the bank, send invoices, enter bills, and close the month in one of them. You do not run both. Pick the file your tax preparer will actually open, then live with that product's user caps and payroll add-on.

Stay on QuickBooks Online when your preparer already uses it

That is the usual case for a US shop. A cheaper ledger your preparer will not open becomes a conversion project every March. Ask them before you start a Xero file.

QuickBooks Online is also the cleaner fit when inventory, purchase orders, and classes need to live in the same subscription. Those are on Plus ($140 a month list) and Advanced ($340). Below Plus, inventory is an add-on. On Intuit's August 2026 price-change list that add-on was $40 a month.

A poor fit if several people have to work in the file. Simple Start is one user at $38 a month. Essentials is three users at $85. Accountant seats (two on the paid plans, three on Advanced) are extra logins for your CPA, not seats for staff. Free is not a company file: one user, one bank, two invoices a month, and no accountant access.

Pick Xero when the seats matter more than the logo

Early, Growing, and Established do not charge per user. The owner, a bookkeeper, and the accountant share one subscription. That is the reason to leave QuickBooks Online when your preparer will follow you.

Growing, $59 a month after the intro, is the plan an operating shop usually needs. Early is $27 and stops at 20 invoices and 5 bills. Partner apps can count toward that invoice cap. Auto-reconcile (the product matches bank lines for you) is included on Growing and Established. On Early it is an add-on.

A poor fit if your preparer will only accept a QuickBooks file, or if you want payroll and employee expenses on the same vendor bill as the ledger. Payroll is Xero Payroll, powered by Gusto: $36 a month plus $6 per employee or contractor, on every plan. Employee expense and mileage claims are on Established ($97) only. A separate spend app still has to be mapped into the general ledger.

Compare the price in month four

Both sites lead with a discount that expires. QuickBooks Online is 50% off for three months ($19, $42.50, $70, or $170), then the list price. Xero is 80% off for three months for a new US organization ($5.40, $11.80, or $19.40), then $27, $59, or $97. The discount does not cover Xero add-ons, usage, or payment fees.

Xero's list is lower at those steps. The gap closes when you add payroll, Inventory Plus, or an expense app. QuickBooks Online hides the same extras: Workforce payroll, Payments fees, and Bill Pay Elite are not inside the $38 to $140 sticker. Bill Pay Elite, which includes 1099 e-file, was $45 a month on Simple Start, Essentials, and Plus in the August 2026 price list, and included on Advanced.

Neither one closes the month for you

Feeds and rules post most of the lines. You still match the statement, review unpaid bills and invoices, and lock the period. That job is the same in both products. The checklist is in monthly bookkeeping and bank reconciliation.

Do not connect the two and expect history to follow. Each one is its own company file. Moving means a new ledger, or paying someone to bring opening balances across. Ask the preparer before you move a year of transactions. Switching products does not fix a skipped close.

Frequently asked questions

Which do accountants prefer, QuickBooks Online or Xero?

Most US tax preparers already know QuickBooks Online. Ask yours. A Xero file is a good file when they will open it. It is an expensive file when they will not, because you pay for a conversion at tax time.

Is Xero cheaper than QuickBooks Online?

After the intro, Xero's list is lower at the same step: Early is $27 versus Simple Start at $38, and Growing is $59 versus Essentials at $85. Payroll, inventory, and expense apps change the bill. Compare month four, not month one.

Is Xero a good fit for a US small business?

Yes, when your preparer will use the file. US plans include sales tax, W-9 collection, 1099 reports, and standard ACH bill pay. Filing those 1099s with the IRS is the Gusto payroll add-on or a partner app, not the base plan. Payroll itself is that same Gusto add-on.

What is the difference between QuickBooks and QuickBooks Online?

This comparison is QuickBooks Online, the monthly cloud subscription. QuickBooks Desktop is a different product with its own price and install. Do not use Desktop prices when you are choosing between Online and Xero.

Can I use QuickBooks Online and Xero together?

Not as two ledgers. Pick one company file. Payroll, expenses, or receipt capture can sit on that file. A second ledger means two sets of books.

Does Xero include unlimited users?

Xero does not charge a per-user fee on Early, Growing, or Established. QuickBooks Online caps users by plan: one on Simple Start, three on Essentials, five on Plus, and 25 on Advanced.
