About AvidXchange

AvidXchange is the accounts payable layer, not the ledger. Suppliers mail paper invoices to an AvidXchange PO box or send them to an email inbox AvidXchange sets up for you. AvidInvoice captures header and line items (AI plus human indexers when needed), codes them, can run 2- or 3-way PO matching, and routes approvals. You pick what to pay. AvidPay then sends a virtual Mastercard, AvidPay Direct (enhanced ACH), or a paper check. Official QuickBooks page: GL codes, vendor lists, invoices, and payments sync to QuickBooks Online; Desktop and Enterprise also sync purchase orders and material receipts. You still close those books.

It does not replace QuickBooks Online or Xero. BILL is the US-priced AP and AR seat product with 1099 e-file in the same app. Melio is cheaper US bill pay with a free ACH allowance. Stampli is another invoice-collaboration AP layer next to QuickBooks or an ERP. Ramp is card-first spend, not mid-market invoice-to-pay next to Yardi or AppFolio. Kick replaces the ledger instead of sitting next to it. AvidXchange's job is capture, approve, pay through the AvidPay Network, then write the trail back to the file you already have.

You capture, approve, and pay in AvidXchange, then sync invoices and payments into QuickBooks Online, Desktop, or the ERP. Close is still reconcile and exception cleanup in that ledger. Official FAQ: the accounting system stays the system of record; AvidXchange sends a payment information file for reconciliation. Invoices stay available in the portal for up to seven years.

The CPA still opens QuickBooks or the ERP. Official help (8 Aug 2025): AvidXchange does not send 1099s to suppliers. You run the AvidPay Annual Payment Detail report in January for the prior year and file yourself. Report AvidPay Check and AvidPay Direct; virtual-card payments are reported to the supplier and IRS by the merchant processor.

Suppliers email invoices or mail paper to an AvidXchange PO box. Official FAQ: AvidXchange converts paper to an image, indexes the fields, and posts the bill. AI extracts header and line items; expert indexers review exceptions. You see the original invoice plus amount, vendor, and due date.

Approval routing with unlimited users

Workflows are built to match the rules you already have (dollar thresholds, reroutes when someone is out). Official QuickBooks and Microsoft pages: no per-user or per-approver seat fee. Approvers can review from a browser. You stay in control of what gets paid.

2-way and 3-way PO matching

There is no public list price. Official glossary: custom quote. Official QuickBooks and Microsoft FAQs: unlimited users, so there is no per-seat tax. Implementation is a project (official FAQ: as little as 45 days, or about six weeks on the AP automation page) with a dedicated AvidXchange team. The sticker you do not see is the payment economics: buyers can earn rebates on AvidPay Direct and virtual Mastercard; suppliers pay fees on those methods and typical card interchange. Accountants on public forums say AvidXchange calls vendors to switch them onto paid rails. A five-person / ~500-transaction US shop that only needs ACH bill pay will almost always spend less on Melio or BILL. There is no free plan and no self-serve checkout.
