About Stampli
Stampli is the accounts payable and procure-to-pay layer, not the ledger. Invoices land by email, upload, or the vendor portal. Stampli captures the lines, suggests GL coding from your ERP, can match purchase orders two or three ways, and keeps every comment, document, and approval on the invoice. You pay by ACH, check, virtual card, or international rails through Direct Pay, or you keep your own bank. Bills and payments sync back to QuickBooks Online, QuickBooks Desktop, NetSuite, Sage Intacct, and other supported ERPs. You still close those books.
It does not replace QuickBooks Online or Xero. BILL is the published-price US AP and AR seat product with 1099 e-file in the same app. Melio is cheaper US bill pay with a free ACH path. Ramp is card-first spend, not an invoice-collaboration inbox. Vic.ai is a high-volume coding and posting layer. Kick replaces the ledger instead of sitting next to it. Stampli's job is capture, code, talk on the invoice, approve, optionally pay, then write the trail back to the file you already have.
People who stick have volume and lots of approvers: controllers at multi-entity or PO-heavy shops, often on NetSuite or QuickBooks, who were tired of invoice questions living in email. Accountants on public forums keep it for the invoice workspace and a short implementation. They also say the AI needs weeks of corrections before coding is trustworthy.

You capture, approve, and optionally pay in Stampli, then bills and payments sync to QuickBooks Online, QuickBooks Desktop, or the ERP. Close is still reconcile and exception cleanup in that ledger. Official QBO/QBD cadence: lists import every 2 hours; invoice and payment export every 5 minutes; a real-time kick is available.
The CPA still opens QuickBooks Online, QuickBooks Desktop, or the ERP. Stampli holds the invoice conversation, W-9s, and payment history. 1099 flags and payment totals can sync; the ERP files the forms. Stampli does not e-file 1099s.

Capture invoices and talk on the bill
Invoices arrive by email, upload, or the vendor portal. Every comment, document, and status stays on that invoice so AP, approvers, and vendors are not hunting through email. Official: you can invite a vendor as an external contact with a limited view.
Code the bill, then match the PO
Stampli AI suggests GL accounts and ERP dimensions, flags duplicates, and predicts approvers. Semi-automated 2- and 3-way line matching is on the core AP quote. Full Cognitive AI matching is listed separately. Mismatches stay on review instead of posting.
Route approvals by how you already work
Set rules by entity, amount, department, or vendor, or let the model suggest the next approver. Approvers act in the web app, email, or the iOS and Android app. Official pricing: unlimited users, no per-approver seat fee.
Sync bills and payments to the ledger
QuickBooks Online is a documented API connector (Intuit Gold App Partner). QuickBooks Desktop uses Stampli Bridge. Lists (vendors, GLs, open POs, classes) sync in; authorized bills and payment info sync out. Official QBO cadence: import every 2 hours, export every 5 minutes, with a real-time kick available. The ERP stays the system of record.
Pay from the approved invoice, or keep your bank
Direct Pay can send ACH, paper check, virtual card, or international ACH and wire. Official: you are not required to use Stampli's rails. The pricing page lists domestic check and ACH, global ACH and wire, and virtual cards as free for Stampli customers. Payment data syncs back to the ERP.
Collect W-9s; file 1099s from the ERP
The vendor portal collects W-9s, tax IDs, and banking details, and can block a pay when a required document is missing. Stampli tracks 1099 vendor flags and payment totals. Official: your ERP issues the 1099s. Stampli does not e-file them.

There is no published dollar price. The official pricing page is a quote form. It advertises unlimited users, entities, and vendors, a dedicated CSM, and included onboarding. Semi-automated 2- and 3-way matching is in the core AP quote; full Cognitive AI matching is extra. Domestic check and ACH, global ACH and wire, and virtual cards are listed as free for Stampli customers. Procurement, Stampli Card, and Advanced Vendor Management sit in Beyond AP and are quoted. A five-person / ~500-transaction shop that only needs ACH bill pay will almost always spend less on Melio or BILL. There is no free plan.

Melio
Pick Melio instead if you want cheaper US bill pay: a free Go plan with a small ACH allowance, or Core when you need unlimited QuickBooks Online or Xero sync, and you do not need PO matching or an invoice chat room.
