DocuClipper

Upload PDF bank statements and invoices, then export QBO/IIF or push bills into QuickBooks Online or Xero.

Best for

Bookkeepers and small-firm owners who need PDF bank statements or vendor invoices extracted and pushed into QuickBooks Online, QuickBooks Desktop, or Xero, especially catch-up and rescue files.

Not ideal if

Anyone whose bank feeds already fill QuickBooks or Xero, or who wants a daily receipt-snap and reimburse app. Also a poor fit if you expected DocuClipper to be the ledger.

Standout

Statement math is checked against the printed opening and closing balance, and invoice math is checked, before the rows or bills hit QuickBooks or Xero.

About DocuClipper

DocuClipper is a converter, not the ledger. You drop PDF bank or card statements, invoices, receipts, checks, or tax forms into the web app, forward them to a DocuClipper address, or watch a Drive or Dropbox folder. It extracts transaction rows and invoice line items, then checks statement math against the printed opening and closing balance. You export a QBO or IIF file for QuickBooks Desktop, or push bills, expenses, and statement lines into QuickBooks Online or Xero. You still close in those books.

It does not replace QuickBooks Online or Xero. Kick is the opposite: Kick is the ledger. Dext is the bookkeeper-grade receipt and invoice inbox with a publish button and per-client pricing. Hubdoc is the Xero-family capture tool many firms already have. Shoeboxed and Neat are receipt cabinets. ReceiptsAI is privacy-first and CSV-only. DocuClipper's job is PDF catch-up and invoice OCR into the file you already keep, priced by pages for the whole firm instead of per seat or per client.

People who stick are usually bookkeepers doing rescue work: years of PDF or paper statements the bank feed will not go back for, plus one login that can point at many QuickBooks Online or Xero companies. They stay when they need Desktop IIF as well as Online, unlimited teammates on the same page pool, and a math check before anything hits the books.

What people who used it say

What they tend to like

  • Rescue bookkeeping from PDF piles

Xero App Store reviewers cite multi-year statement catch-up into a new Xero file, and PDF-to-import that beats retyping.

  • Faster than rebuilding Excel by hand

Bookkeepers come back to it as a common paid converter when Tabula or a generic OCR leaves a messy sheet.

  • Math check before the file is touched

Help and product pages describe a running-balance check on statements and a line-item math gate on invoices, which is the reason not to paste ChatGPT output into QuickBooks.

What they hesitate about

  • Pricey, and it still misses rows

An r/Accounting commenter called it the most popular converter they keep using, then added it is expensive and sometimes gets it wrong.

  • Old scans and messy PDFs

Another r/Accounting commenter said a demo did not impress on scanned or old documents, which matters for catch-up boxes.

  • You pay for quiet months

Monthly pages do not carry forward. A first-person competitor write-up described paying near $40 in slow months. Official FAQ: cancel after a one-off project.

If the bank feed already runs, you may not need DocuClipper at close. For PDF catch-up, extract, review the reconcile flag, then import to For Review (QBO QBO-file or API) or Xero's statement import. Invoice bills still need coding, approval, and payment in the ledger. Xero bills land as drafts.

The source PDF can attach to a QuickBooks Online bill. You can also download Excel or CSV. This is not a year-end tax package and it does not e-file 1099s or the return. Tax-form OCR (W-2, 1099) is data extraction only.

Features

Upload, email, or watch a folder

Drop PDFs or images in the web app, photograph from the iOS or Android app, forward attachments to a dedicated address, or watch Google Drive, Dropbox, Box, or OneDrive. Help: review and export still work best on a laptop.

Bank PDF to QBO, IIF, Excel, or Xero

Extract date, description, debit/credit, and running balance from scanned or digital statements. DocuClipper adds the rows up and flags a mismatch against the printed opening and closing balance before you export. Multi-account PDFs can split. Cover pages and blanks still count as pages.

Invoice OCR into QuickBooks or Xero bills

Read vendor, invoice number, dates, tax, totals, and line items (qty, price, tax). QuickBooks Online gets a vendor bill with the PDF attached. Xero bills land as drafts. Desktop uses an IIF. A math check (lines = subtotal; subtotal + tax = total) can hold a broken bill.

One login, many QuickBooks or Xero files

A single DocuClipper account can connect multiple QuickBooks Online companies or Xero organizations and switch at export. Help titles this one connection per project. Unlimited users share the page pool on every plan. No per-seat fee.

Rules, then a two-way classification sync

Save per-vendor GL coding and invoice rules. After a bill has been pushed, later category, item, or tax edits can update the existing QuickBooks Online or Xero record instead of creating a duplicate. Locked or paid bills can reject the update. Amounts are not re-pushed after the first sync.

API on paid plans; analysis on Business

Every paid plan includes the REST API, webhooks, and exports to Excel, CSV, QBO, IIF, OFX, QFX, and QIF. Starter is email and chat. Business adds cash-flow / flow-of-funds / fraud analysis, a dedicated queue, team management, and phone support. SSO, audit logs, IP allowlisting, and an SLA start on Enterprise.

Pricing

A one-entity shop with two or three monthly statements often fits Starter 60 at $29/month ($20.30/month if you take the 30% annual discount the site markets as from $20/mo). Unused monthly pages do not roll over; annual billing dumps the year's pages up front. A 12-page statement burns 12 pages, including covers and blanks unless you deselect them. Re-running a file burns pages again. Overage protection (default on paid accounts) keeps processing and bills extra pages at the plan rate up to a cap you set; turn it off or a quiet month still costs the subscription and a busy month can add a surprise. Extra page packs never expire. Unlimited users, so a 5-person shop does not pay per seat. Catch-up of years of statements is a one-off: pick a page tier, finish, cancel.
