About ExpenseBot

ExpenseBot is a Google Workspace companion, not a ledger. You sign in with Google. It scans Gmail for receipt and income emails (Amazon, Uber, Stripe, SaaS), plus photos, PDFs, Drive files, and Google Photos. Extracted rows land in a Google Sheet in your Drive: vendor, date, amount, tax, category. You review, then push a report to QuickBooks Online as a Purchase, Bill, or staff reimbursement, or to Xero as a draft bill. You can match card or bank lines with Plaid in the US and Canada, or upload a statement CSV. Mileage can come from Google Calendar. You still close in QuickBooks Online, Xero, Wave, or whatever file you already keep.

It sits next to the books, like Receipt Bot and Zoho Expense, not instead of them like Kick. Receipt Bot charges by document credits and a person checks the extract. Zoho Expense is policy, approvals, and mileage at a per-user price, with a three-user free plan. Expensify is reimbursement-first and does not live in Gmail and Sheets. Harvest logs time and attaches a receipt to a project so you can invoice hours. ExpenseBot's job is inbox capture into a sheet you own, then a reviewed export.

People who stick already live in Gmail. They want overnight receipt pickup without forwarding rules, a sheet they can share with an accountant, and one seat price instead of a T&E stack. Accountants can manage clients for free; a client's scanning still needs a paid seat or accountant sponsorship.

Connect Gmail once. ExpenseBot labels receipt and income emails and extracts merchant, date, amount, tax, and category. Current-year scanning is in the paid seat. Older completed years are optional unlocks ($20 one year, $79 any past year).

Lands in a Google Sheet you own

Gmail, photos, PDFs, Drive, and Google Photos write rows to a Sheet in your Drive. You edit vendor, amount, date, tax, and category there. Generated reports are snapshots; later recodes do not rewrite old reports.

Reviewed push to QuickBooks Online

Connect with OAuth, then approve before anything posts. Already-paid card spend can become a Purchase. Unpaid invoices become Bills. Out-of-pocket staff spend becomes a Bill payable to the employee. Class, Customer, and the receipt file can ride on the line. QuickBooks Desktop and Self-Employed are not supported.

Reviewed push to Xero

Dedicated Xero page: OAuth connection, ACCPAY bills, contact matching, tracking categories (up to two), and receipt attach. You confirm the organization and mappings before the push.

Card and bank match, then leftovers

Plaid card and bank connections in the US and Canada, or a CSV / OFX / QFX upload. ExpenseBot matches statement lines to captured receipts and flags unmatched charges. Uploads are one statement at a time.

Mileage from Calendar and a year-end pack

Import trips from Google Calendar. Year-end report includes category totals, a mileage log, and deduction percentages, plus filled Schedule C / SE (US) or T2125 (Canada). Australia and UK worksheets are Beta and do not file. ExpenseBot does not e-file 1099s or the return.

Pricing

A solo owner pays $10 a month or $100 a year after a 60-day trial. A 5-seat shop is $50 a month or $500 a year. The accountant login is free; client scanning is a paid or sponsored seat. Individual annual includes last year's Gmail backscan ($20 value). Team and sponsored plans do not. Extra completed years are $20 one-time or $79 for Any Past Year.
