Flowlu

CRM and project workspace that invoices clients and logs expenses by category. Bank accounts are typed in; it is not QuickBooks.

Best for

Agencies and small service shops that want CRM, projects, and invoicing in one login and will still close the books in QuickBooks, Xero, Wave, or Kick.

Not ideal if

Anyone who needs Flowlu to be the ledger: there is no live bank feed, no native QuickBooks Online or Xero connector, and no year-end tax package.

Standout

The invoice can come from the same project and CRM record the team already works in, with job-level revenue and expense next to the tasks.

About Flowlu

Flowlu is a project and CRM workspace with a finance module. You track deals and delivery in the same login, then send estimates and invoices (PayPal, Stripe, Square, or a payment you type in). Expenses, income, and transfers are entered against bank-account records you create. Official comparison copy says those bank accounts have no live connection. Reports are a cash-category profit and loss and a cash flow statement. You can export transactions, invoices, and those reports as CSV. You still close tax books in QuickBooks Online, Xero, Wave, or Kick.

That is the opposite of Kick (the ledger) and of Wave or Zoho Books (the books of record). Harvest is closer on time-to-invoice for client work, without the CRM and project suite. FreshBooks is invoicing that can be the file. Flowlu does not list a native QuickBooks Online or Xero connector. Make, Integrately, Pabbly, and Zoho Flow advertise those hooks. The official integrations page names payment gateways, email, calendars, and automation tools, not a ledger.

People who stay usually want one place for the pipeline, the project, and the invoice, and they accept that month-end still happens in a real ledger. Agencies and small service shops cite the one-workspace setup and project profitability. The suite is large; App Store owners say it takes time to learn.

What people who used it say

What they tend to like

  • One workspace for CRM, projects, and invoices

Owners pick it to stop jumping between a CRM, a project tool, and a separate billing app.

  • Project profitability next to the work

Per-project revenue, expense, budget vs actual, and invoicing tied to the job.

  • Keeps working on the phone

Longtime App Store users run tasks, CRM, and invoices from the mobile app.

What they hesitate about

  • The suite takes time to learn

Owners say the product is large and onboarding is on you.

  • Support is chat and email, not a phone fix

A five-year App Store reviewer left over slow, one-step-at-a-time email help and a chatbot.

  • Native connectors you want may be missing

Reddit notes using Make for gaps. Official integrations omit QuickBooks Online and Xero.

Categorize Money lines, lock the reporting period, and export P&L, cash flow, transactions, and invoices as CSV. Bank accounts are typed records, not a feed. Rebuild or re-key in QuickBooks Online, Xero, Wave, or Kick for tax.

CSV of transactions, invoices, P&L, and cash flow, plus invoice PDFs. There is no year-end tax package. A CPA who only opens QuickBooks, Xero, Wave, or Kick will want those files, not Flowlu.

Features

Invoice from the CRM or project

Create estimates, convert them to invoices, add taxes and catalog line items, and send by email or a public link. Free includes invoices, estimates, catalog, and branding. Invoice templates and late reminders start on Essential. Recurring invoices start on Advanced.

Manual income, expense, and transfer logs

In Finance, type an income, expense, or transfer and split it across categories. Mark a line for P&L, cash flow, or both. Bank accounts are records you add (2 on Free, 4 on Essential, 8 on Advanced, 16 on Ultimate). Official comparison table: no live bank connection.

Project revenue versus expense

Plan a project budget, log actual income and costs on that job, and read a project cash-flow forecast on Advanced. This is job profitability in the workspace, not a general ledger close.

Time on a task, then an invoice

Start a timer on a task (Essential). Convert logged time to billable invoice lines (Advanced: billable hours, planned vs logged, custom rates).

Online payments (Essential and above)

Connect Stripe, PayPal, Square, WayForPay, or Skrill so the client pays the invoice in place. Free can track payments you record; the payment-gateway integrations start on Essential.

Multi-organization finance (Advanced and above)

Run more than one organization in one account (4 on Advanced, 8 on Ultimate). Multi-currency invoicing and inventory tracking sit on Advanced. Lock reporting periods so later edits cannot change closed P&L or cash flow lines.

Pricing

Two people can stay on Free. A 5-person shop on Essential is $45/month billed annually ($540/year) or $60/month billed monthly. Recurring invoices, multi-currency, and a second organization push you to Advanced: $85/month billed annually ($1,020/year) or $110/month. Processor fees on Stripe, PayPal, or Square sit on top. Ultimate publishes $24/$32 per user but seat changes are not self-serve above 40. No refunds. 7-day Advanced trial, 2 seats, no card.
