About MoneyMinder
MoneyMinder is cash-basis bookkeeping for volunteer treasurers. You connect the group's checking account (Yodlee; the pricing page says 12,000+ banks) plus PayPal, Square, or Stripe. Venmo and unsupported banks come in as CSV, OFX, QFX, or QBO files. You categorize deposits and withdrawals against a budget that doubles as the chart of accounts, reconcile the register, attach receipts, and print the treasurer's report the board expects. Restricted or reserved money is a budget heading, not a fund segment in a general ledger. Official help is explicit: profit and loss is cash only, and the only balance sheet accounts are bank accounts.
This is the group's books of record, not a layer on QuickBooks. MIP Fund Accounting and AccuFund are true fund ledgers for controllers who need grant and audit structure. Wave and QuickBooks Online are commercial cash or accrual files; MoneyMinder is the volunteer path when a PTA, church, booster, or HOA wants a register and a treasurer report instead of a full chart. You can import one cash-basis year from QuickBooks Online or Desktop during the trial. There is no live QuickBooks or Xero sync.
People who stay are usually incoming treasurers who inherited a spreadsheet or a QuickBooks file nobody else can open. They want unlimited board logins at one price, a handoff that keeps history with the organization, and 990-N e-file from the same login.

Bank register and account import
Maintain deposits and withdrawals in a register. Link supported banks through Yodlee (read-only). PayPal, Square, and Stripe can sync. Venmo is CSV import only. Unsupported banks use OFX, QFX, or QBO files. You still review each imported line.
Budget as the chart of accounts
Build headings and categories in Budget; that list is the chart. Code every transaction to a category, then run budget-vs-actual. Restricted or reserved funds are extra headings, not fund entities.
Reconciliation and treasurer reports
Reconcile the register to the bank. The Treasurer's Report and Annual Report show cash income, cash expense, and beginning/ending bank balances. Official help: no full balance sheet beyond those bank accounts.
Contacts, dues, reimbursements, and 1099 reports
Track members, donors, and vendors. Send statements and donor acknowledgements on paid accounts. Reimbursement forms can require multi-step approval, then import into the register. Generate 1099-NEC reports for contractors over $600; MoneyMinder does not e-file 1099s.
990-N e-file, plus paid 990-EZ and 8868
Paid accounts can e-file Form 990-N from Tax Forms at no extra fee (included as of 1 Jul 2026 for current or renewed subscribers). 990-EZ e-file is $99/year. Form 8868 is $25/year. Trial accounts cannot e-file. Full Form 990 is not in the product.
Cheddar Up store, documents, and mobile apps
Collect dues and event fees through a Cheddar Up Team Edition store (card and eCheck fees apply) and import sales into the register. Document storage, a compliance log, and role-based users at no extra seat fee. Web plus iOS and Android apps.
Pricing
A typical PTA or HOA pays $299 a year for unlimited users. There is no month-to-month paid plan and no refund after you pay the year. 990-N e-file is included on paid accounts (as of 1 Jul 2026 for current or renewed subscribers). 990-EZ is $99/year extra. Form 8868 is $25/year. Store card fees are Cheddar Up processing. Historical QuickBooks import is $19 per extra year on the switch page (one cash-basis year during the trial). After the 30-day trial, Free Edition is budget and contacts only.
