Nanonets

Extract invoices and receipts, then export approved bills to QuickBooks Online or Xero.

Best for

AP or ops teams with messy invoices who will build a workflow and post reviewed bills to QuickBooks Online or Xero, and who can live with a credit meter.

Not ideal if

A 1–50 person US shop that wants snap-and-publish like Dext, or bill pay and 1099s like BILL. Also a poor fit if you only need a receipt cabinet.

Standout

You design the extract-match-approve-export path as billed blocks, including a documented QuickBooks Online and Xero bill export, without Nanonets becoming the ledger.

About Nanonets

Nanonets is a document and AP layer, not the ledger. You email, upload, or send invoices and receipts through the API. The model extracts vendor, dates, amounts, tax, and line items. You review low-confidence fields, run approval stages if you set them, then export an account-based bill, item-based bill, or expense into QuickBooks Online or Xero. Help docs also cover Sage and Zoho Books export. You still close in those books.

It sits next to the file, like Dext and Vic.ai, not instead of it like Kick. Dext is the bookkeeper-grade capture tool with a published US price and a Publish button your accountant already knows. Vic.ai is quote-led, high-volume invoice coding. BILL is AP plus bill pay. ReceiptsAI stops at a CSV. Nanonets' job is a credit-metered workflow you build (extract, match, approve, export) that can post a reviewed bill into the ledger you already have.

People who stick have messy layouts or a process they want to encode as rules, and they are willing to map fields and watch the credit meter. Public OCR threads call extraction usable and the bill hard to predict. A five-person shop with a short vendor list will usually spend less on Dext or BILL.

What people who used it say

What they tend to like

  • Extraction on varied layouts

Public OCR and no-code threads name Nanonets when invoices are unstructured or layouts keep changing, versus template parsers.

  • Workflow blocks beyond OCR

r/OCR users note you can format dates, do math on extracted values, and export in the same workflow, not only pull text.

  • A path into QuickBooks or Xero without writing a parser

Help docs walk OAuth connect, field mapping, and export of bills or expenses. You still review before post if you set the approval trigger.

What they hesitate about

  • The bill is hard to predict

r/OCR callers say consumption pricing is among the more expensive OCR options and is difficult to ballpark until you run real files. One commenter switched vendors over price versus results.

  • Setup is the project

r/nocode users who compared Tabscanner, ABBYY, and Nanonets said setup was the hard part, and another team said Nanonets kept asking them to train custom models.

  • More platform than a bookkeeper needs

Independent invoice-scanning roundups describe Nanonets as an IDP you configure, not a one-click QBO scanner. A bookkeeper who only wants bills in QuickBooks will find Dext or BILL faster.

You capture, match, and approve in Nanonets, then a bill or expense posts to QuickBooks Online or Xero. Close is still reconcile and pay in that ledger. Nanonets does not run the payment or the bank rec.

The CPA opens QuickBooks Online or Xero. Xero export can attach the original file. There is no year-end tax package and no 1099 e-file.

Features

Email, upload, Drive, or API ingest

Forward invoices and receipts to email, drag files into the web app, connect Google Drive, Dropbox, SharePoint, or OneDrive, or send files through the API. Official Starter includes email and cloud storage connectors. Import is billed as a block run.

Extract invoices and receipts, including line items

Pick a pre-trained invoice or receipt model. The extract pulls vendor, dates, totals, tax, and SKU-level lines without a template per vendor. You review side by side. Data extraction AI is a complex block on the public price card ($0.30 per run; docs count one run per page).

Look up vendors and accounts from the ledger

Connect QuickBooks Online or Xero, then use a lookup or dropdown so vendors, classes, customers, and accounts come from the file before you code the bill. Docs list QuickBooks, Sage, and Xero lookups on all plans.

Approve before anything posts

Set export to run only after approval (docs: recommended for QuickBooks). Route exceptions over email, Slack, or Teams. Each approval stage is a billed validation run. Low-confidence or out-of-tolerance matches stay on review.

Export bills or expenses to QuickBooks Online or Xero

Map fields, then create an account-based bill, item-based bill, or expense in QuickBooks Online, or a bill or contact in Xero. Xero can attach the original file. Docs also cover Sage and Zoho Books export. This is not bill pay. You still pay the vendor in the ledger.

Pay per block run, not per seat

Official pricing: no platform fee and no seat license. Starter is 3 users, $50 free credits, then $100/month for 100 credits. Simple blocks $0.02, standard AI $0.10, complex AI $0.30. A typical invoice workflow is 4–6 blocks. Line-item formatting and per-row lookups multiply runs.

Pricing

Starter is free to start ($50 credits, no card), then $100/month for 100 credits. Official block card: $0.02 simple, $0.10 standard AI, $0.30 complex AI. Vendor FAQ: a typical invoice workflow is 4–6 blocks and under $2 end-to-end. Docs examples put a lean 1-page invoice around 0.3–1.3 credits once you add format and export; per-row lookups and line-item formatting multiply that. A five-person shop sending 50–100 vendor invoices a month can stay near the $100 Starter floor if the workflow is short. A 500-invoice month at $1–2 each is $500–1,000 and needs more credits or a Growth quote. Starter is capped at 3 users. SAP, Oracle, and Salesforce connectors are Enterprise. This is not bill pay.
