About Rydoo
Rydoo is expense software, not a ledger. Employees snap a receipt in the iOS or Android app, or log mileage on the map. A manager approves against your policy. On Pro, finance uses Sync to send approved lines to QuickBooks, Xero, or Exact Online. On Essentials you download PDF or Excel and type the books yourself. You still close and lock the period in those books.
It does not replace QuickBooks Online or Xero. Ramp is the free US card program with SMS receipt chase. Expensify is the phone camera plus ACH payback at a published $5 seat. Zoho Expense has a free tier and cheaper seats for policy chains. Payhawk is the other European spend suite with published US module prices. Rydoo's extra is official per diem and mileage tables for 80+ countries, plus self-serve seats from five users.
People who stick are usually EU or multi-country teams that want the phone scan and the policy in one app so finance is not chasing paper. They accept a five-seat minimum. They know Rydoo Cards and in-app bank payouts sit on Business (30+ active users), unless they buy the unpublished Pro card add-on. Bookkeepers care that Pro can match Visa, Mastercard, and Amex feeds, then export.

Upgrades and support land at year-end
A long-time iOS reviewer (since 2016) described a year-end conversion that changed settings, dropped iPad features, and left chat waits of 16–24 hours. That review is from 2021; treat it as a theme, not a current SLA.

Close is review and export in Rydoo, then reconcile in QuickBooks or Xero. Essentials is a file. Pro has a Finance-tab Sync to connector. Sage is CSV or Excel on a schedule. Card lines still need the Pro feed match or a Rydoo Card.
Hand over the QuickBooks or Xero file after a Pro sync, or the Excel/PDF export on Essentials. Invite-an-accountant seating is unpublished. No US year-end tax package or 1099 e-file seen.

Snap a receipt, submit the claim
Photograph a receipt in the iOS or Android app. OCR fills merchant, amount, date, VAT, country, and currency (vendor claims 95%+ accuracy and under 10 seconds). Unlimited expenses sit on every plan we saw.
Mileage and per diems by country
Mileage is on Essentials and up: enter destinations and Rydoo calculates distance and the claim from your rates. Per diems and daily allowances for 15+ countries start on Pro. Product pages also name official tax, per diem, and mileage tables for 80+ countries.
Approve against the policy
Essentials has one approval step. Pro adds custom spending rules and a second approver, plus trip and cash-advance approvals. Enterprise adds advanced workflows. Smart Audit (AI review of every claim) is Enterprise-only for new customers on or after 15 June 2025.
Export to QuickBooks, Xero, or Excel
Essentials exports PDF, Excel, and custom templates. Pro adds the plug-and-play connectors: QuickBooks, Xero, and Exact Online. Help describes a Finance-tab Sync to button after an admin connects the package. Sage is a scheduled CSV or Excel file, not that live sync. DATEV and NetSuite sit on Business or as add-ons.
Match the cards you already have
Pro and above auto-match Visa, Mastercard, Amex, Corner Card, and AirPlus feeds to expenses. Keep the bank cards you already issue if you do not want Rydoo Cards.
Issue Rydoo Cards, or pay people back in-app
Virtual and physical cards, plus entity or cost-center wallets, are included on Business and Enterprise. They are an add-on on Pro (price unpublished). US card payment services are Airwallex US, LLC. In-app bank payouts (Reimbursements) are marked Business and Enterprise only. Help also says many companies still pay employees from payroll or the bank themselves.
Pricing
A 5-person US shop must buy five seats. Essentials is 5 × $9 = $45/mo billed annually ($540/yr) and stops at Excel. Pro is 5 × $11 = $55/mo billed annually ($660/yr) if you want QuickBooks or Xero. Monthly billing is $12 and $14 per user. There is no free software plan. Rydoo Cards and in-app bank payouts are not on those self-serve bills unless you add unpublished Pro cards or jump to Business (30+ active users, quote). Ramp Free is $0 for a US-only card program. Expensify Collect is $5 per member.
