About Spendesk
Spendesk is a spend platform, not a ledger. You load a company wallet (US shops fund by ACH), issue Visa debit cards with per-card budgets and merchant rules, and employees swipe. The phone asks for a receipt. Out-of-pocket claims sit on the same login. After finance prepares the payables, you export them: card purchases and claims as Expenses in QuickBooks Online (US companies), or as Bills in Xero. You still close and lock the period in those books.
It does not replace QuickBooks Online or Xero. Ramp is the free US charge-card program with SMS receipt chase. Brex covers cards, reimbursements, and travel under team budgets. Expensify is the phone camera if people still pay out of pocket. Payhawk is the other European-born modular suite, with published US starting-ats. Spendesk's extra is a prepaid wallet that covers cards, expenses, and optional invoices and purchase orders, plus native DATEV and European payment rails.
People who stick usually have a European entity, or they want one login for cards, receipts, and supplier invoices instead of a shared company card. Month-end is review and export, not a statement hunt. They accept a sales quote and they load cash before anyone swipes.

You prepare approved payables in Spendesk, export, then match wallet loads and any fees the connector skips. QuickBooks Online (US only) does not export payments, refunds, wallet loads, FX, ATM, or bank fees. Xero marks exported Bills paid after payment reconciliation; wallet loads are a manual export. Lock the period in those books.
Invite the accountant to QuickBooks Online or Xero, or send that file. Receipts attach on exported payables. Spendesk does not produce a year-end tax package. 1099 e-file was not documented.

Issue physical Visa debit cards, plus single-use, multi-use, and recurring virtual cards. Set a monthly budget, merchant categories, and ATM or contactless rules before the first swipe. US cards are issued by Sutton Bank; UK by Adyen; EEA by Spendesk Financial Services. Plastic is free to order. You fund a wallet first.
Receipt chase on the phone
After a purchase, the iOS or Android app prompts for a photo. OCR fills the fields. Foundations includes custom receipt rules and automated reminders. Virtual-card pages say more than 95% of receipts land within two days.
Out-of-pocket claims on the same login
When a merchant only takes cash, the employee snaps a receipt and submits a claim. Finance reviews it. A reviewed claim counts as a billed transaction. Reimbursements sit next to the cards, not in a second app.
Prepare, then export to QuickBooks Online or Xero
Spendesk pulls the chart of accounts. You prepare approved payables, then export. Native QuickBooks Online is US companies only: claims and card purchases land as Expenses; invoices land as Bills. Payments, refunds, wallet loads, FX, ATM, and bank fees do not export. Xero exports claims, invoices, and card purchases as Bills (draft until the payment reconciles). Wallet loads need a manual Xero export.
Invoices and procure-to-pay (add-ons)
Forward supplier invoices to a Spendesk inbox. OCR extracts vendor, amount, and due date. Accounts Payable and Procurement are add-ons: purchase orders, matching, approvals, and supplier pay in 70+ currencies. Not on Foundations by default.
Slack, API, MCP; multi-entity as an add-on
Foundations includes Slack, SSO/SAML, an open API, and Spendesk AI Connect (MCP). Multi-entity workflows and HR or ERP connectors sit on Business add-ons. Pricing lists 40+ HRIS, ERP, and travel systems on those add-ons.
Pricing
A 5-person US shop will talk to sales. The public pricing page does not print a dollar or euro list price. You pay a fixed platform fee plus a variable charge per card purchase, reviewed claim, and validated invoice. Users and physical cards have no per-seat or per-card monthly fee. A Sep 2025 help article still live on 12 Sep 2026 uses a simulator of €299/month for 100 included transactions, then €0.75 per extra line or a €50 pack of 100. Invoice names on that article are Starter, Essential, Scale, and Premium; the marketing page now says Foundations plus add-ons. US wallets fund by ACH only. You load cash before cards work. There is no Ramp-style $0 software plan.
