About Webexpenses

Webexpenses is expense software, not the ledger. Employees snap a receipt in the phone app (Google Vision OCR), add mileage, and submit a claim. Soft or hard policy rules can block or flag a line before an approver sees it. After sign-off, an admin can transfer the claim into Xero from the Webexpenses admin area (cash items and card items land as separate lines). Official pages also name a QuickBooks connector, without saying Online versus Desktop. You still close those books.

It does not replace QuickBooks Online or Xero. Expensify is the published-price US reimbursement app with a documented QuickBooks Online sync. Ramp puts limits on a US company card and the software starts at $0. Zoho Expense is the cheaper policy-and-approval layer. Pleo is the other European prepaid card plus an export. Webexpenses's extra is a UK and APAC setup: VAT capture, mileage with offset, issued Mastercard cards in GBP or EUR (Adyen), and a quoted invoice and purchase-order module.

Finance teams keep it when they already have a UK or APAC entity, Xero or Sage, and they want claims coded at submission. Employees live in the app. Approvers sign off there. Month-end is review and a post, not a receipt hunt. They accept a sales demo and an implementation that the official FAQ says can take 8–10 weeks.

  • Phone snap is faster than the web form

    Play Store: employees say they photograph the receipt, fields prefill, and they stop using the desktop claim screen.

  • Incomplete claims cannot go through

    Official close page quotes a customer: the system will not let you submit until mandatory fields are filled, which cut their processing time.

  • Thin but positive owner mentions on Reddit

    r/UKPersonalFinance: an employee called it very good (only expenses product they had used). r/CommercialRealEstate: one shop said 18 months in, it works well for the team.

What they hesitate about

  • Mileage map and foreign addresses

    Play Store (2024): you can drag the route but not the destination; searching building names in other countries is near impossible.

  • Receipts mis-tagged as credit-card spend

    Play Store (Aug 2025): after an update, every receipt was flagged as a card receipt with no checkbox to override, so lines could not join a claim.

  • Login loop and app crashes

    Play Store (2025): first login asked for a QR or PIN from a PC, with no mobile-web fallback. App Store reviews (US/NZ) cite crashes on receipt upload and one-by-one receipt adds.

Employees submit coded claims. Approvers sign off. Finance transfers or syncs into Xero, QuickBooks, or an ERP. Late claims and unmatched card lines are the close problem. You still rec and lock the period in the ledger.

The CPA opens Xero, QuickBooks, or the ERP. Webexpenses holds the receipt, policy flag, and approver trail. UK shops can export VAT and P11D/PSA data. It is not a US year-end tax package.

Features

Snap a receipt and submit a claim

Photograph a receipt in the iOS or Android app. Official copy: Google Vision OCR fills the line so the employee can categorise and submit. Approvers can sign off in the same app. The download is free; it needs an active company subscription.

Policy checks before approval

Soft or hard rules flag or block a line that breaks policy. Every UK plan lists up to six approval levels, duplication checks, and custom labels. Finance sets which cost centres and GL codes the claimant can pick, so the claim is coded before it reaches the books.

Mileage with offset, carbon on Scale

Every UK plan includes mileage tracking with offset. The app has a map for point-to-point trips. Scale and Pro add carbon tracking. Play Store reviews complain that international address search and destination pins are awkward; treat that as a known friction, not a deal-breaker for UK routes.

Issued cards, or a corporate-card feed on Scale

Physical and virtual Webexpenses Mastercard cards (Adyen) sit on every UK plan. Official cards page: GBP or EUR balances, Apple Pay and Google Pay, no advertised card fees. Cashback is 0.5% on Scale and 0.75% on Pro. A feed from existing corporate cards starts on Scale. FAQ: cards are free for Webexpenses users; usage may vary by region.

Transfer approved claims to Xero or QuickBooks

Essential lists QuickBooks, Xero, and file integration. The Xero page: connect in the admin area and transfer claims at the click of a button; cash and card lines split in Xero. Scale adds NetSuite, Sage Intacct, and Business Central. Official close page also names Sage 50, Sage 200, and a two-way ERP sync. Pages do not say QuickBooks Online versus Desktop.

Supplier invoices, or bank reimbursements on Pro

Invoice processing is a separate quoted product: OCR capture, PO matching, approvals, then a post into the accounting file. Expense-plan Pro adds direct reimbursement to employee bank accounts, user management (leavers, role changes), HRIS connectors, and a public API. Essential and Scale do not list those.

Pricing

Official UK table (fetched 12 Sep 2026): Essential from £7.50 per active user per month, Scale from £9, Pro from £13. You load everyone, then pay for users who process a claim that month; those users get unlimited submissions. Every tier CTA is Book a demo. Official FAQ: implementation can take 8–10 weeks. Invoice/AP is a separate quote (document volume, users, integration type, entities). Cards: Mastercard via Adyen, GBP or EUR, no advertised card fees; cashback 0.5% on Scale and 0.75% on Pro. Corporate-card feed starts on Scale. Direct reimbursement and the public API start on Pro. A five-person shop where all five claim would see about £37.50/month on Essential before implementation, which is unpublished. APAC has a different table (SMB A$3,500/year; Essential from A$12/user/month). USD list prices were not on the site. Live BookkeepDIY stub still shows Pro at £15; official Pro is £13.
