Our take
- Best for
- Practices and companies whose document volume swings, and who want every user submitting without a per-seat fee.
- Not ideal if
- A team that lives on long bank-statement PDFs. Those pages burn 3 credits each, and the overage rate is not published.
- Standout
- One credit price list for receipts, line-item invoices, and statement pages, with QuickBooks Desktop and Sage 50 sync on the same plans.
About AutoEntry
AutoEntry reads receipts, purchase and sales invoices, supplier statements, and bank or card statement pages, then you publish the lines into the accounting file you already keep. You snap a photo in the phone app, forward a PDF to your AutoEntry address, or upload a batch on the web. It pulls suppliers, tax codes, and nominals from that file, suggests a category from what it has seen, and you send the document across. The books stay in QuickBooks, Xero, Sage, or another connected package.
Dext and Hubdoc do the same capture-then-publish job. Dext is the bookkeeper inbox with supplier rules and a document allowance. Hubdoc is the capture tool many Xero files already include. Veryfi is a receipt app with a separate OCR API. Nanonets is a workflow you configure. DocuClipper is built around PDF statements and a QBO or IIF export. AutoEntry's difference is credits instead of seats, a desktop sync app for Sage 50 and QuickBooks Desktop, and the same feature set on every paid plan.
Practices stay because every client company and every user is included, so a quiet month does not add seats. Unused credits last 90 days. You still review before publish. A receipt costs fewer credits than a statement page, which is the point of the meter: cost follows the document, not the headcount.
Pricing
US prices on 12 October 2026, per month excluding VAT: Bronze $13 for 50 credits, Silver $24 for 100, Gold $46 for 200, Platinum $103 for 500, Diamond $298 for 1,500, Sapphire $469 for 2,500. A statement page is 3 credits and a line-item invoice is 2, so 500 transactions is not 500 credits. Overage up to 200% of the plan hits the next invoice at a higher rate the page does not state. Card only. Partner clients can get 50% off for 6 months. AccountsPrep is a separate UK and Ireland fee.

How it hits your books
- Replaces your ledger
- No
- QuickBooks Online
- Yes
- Xero
- Yes
- Multi-entity
- Partial
- Payroll
- No
Published bills sit in QuickBooks, Xero, or Sage. You still reconcile the bank and close there. Statement extraction does not finish the reconciliation.
The accountant gets the published documents inside the ledger they already use, or a CSV if that package is not connected.
Features
- Capture a receipt, invoice, or statement page
- Submit from the web, by email, or from the iOS or Android app. Compatible documents on the pricing page include supplier and sales invoices, receipts, credit notes, supplier statements, bank and card statements, and employee expense claims. A purchase or sales invoice is 1 credit, or 2 with line items. An expense is 1. A supplier statement is 2. A bank or card statement is 3 credits per page.
- Publish into the ledger you already use
- Help docs list QuickBooks Online, QuickBooks Desktop, Xero, FreeAgent, KashFlow, Clear Books, and others. Sage 50 (UK, Canada, and US) and QuickBooks Desktop need the desktop sync app. Sage for Accountants only works from inside Sage for Accountants. Purchase order matching is marked QuickBooks and Xero only. If your package is missing, export CSV or Excel.
- Suggest tax codes and categories, then you send
- Once connected, AutoEntry pulls suppliers, tax codes, and nominal codes from the accounting file. The homepage says it learns a category so a later document can skip that step. The pricing page lists auto-suggest for suppliers and VAT codes, custom categorisation rules, and duplicate flagging. You still choose and publish. This is not a ledger and it does not close the month.
- Match supplier statements and expense claims
- The homepage describes matching invoices to a supplier statement, grouping invoices for a VAT-period report, and assigning expenses to users. The pricing page also lists re-billable expenses, non-reimbursable claims, and multi-level expense approval. Those features are included on every plan. The credit cost still depends on the document type.
- Same features on every credit plan
- Bronze through Sapphire include unlimited users, and for accountants unlimited client companies, cloud storage, and a partner portal. Unused credits roll for 90 days. You can downgrade or pause, and cancel up to 24 hours before renewal. After cancel, data stays available for 13 months. A free trial includes 25 credits. The integrations page says no credit card is required to start.
- Add AccountsPrep only in the UK and Ireland
- Accountants in the UK and Ireland can add AccountsPrep to prepare and adjust a trial balance for clients with no ledger. Help docs say that add-on is a separate monthly subscription. The AutoEntry pricing page does not show that fee. There is no extra AutoEntry charge just for connecting a supported accounting package.
