Our take

Best for
A finance team that has outgrown a single QuickBooks file because of multiple entities, deferred revenue, or a close that lives in spreadsheets.
Not ideal if
A one-entity US shop with simple revenue. Campfire's own QuickBooks note says to stay on QuickBooks in that case.
Standout
The ledger, the revenue entries from CRM and billing tools, and the close checklist are the same system, quoted on complexity rather than seats.

About Campfire

Campfire at campfire.ai is an AI-native ERP for finance teams, not a campground product and not a consumer app. The general ledger is the system of record. Billing events, CRM contracts, payroll journals, card spend, and bank feeds post into Campfire, and the statements come out of Campfire. It consolidates entities, recognizes revenue from the contract, and runs close checklists, reconciliations, and flux review. Ember is the accounting assistant that groups related transactions and suggests what to do next. You leave QuickBooks. Prior history can come across, or you cut over on a date and leave the old detail behind.

QuickBooks Online and Xero are the small-company files Campfire tells you to exit once you have more than one entity or deferred revenue. Kick, Digits, and Puzzle are lighter US ledgers for a shop that still wants to run the books itself. Rillet is the other quote-only SaaS ERP in this directory. NetSuite is the heavier system Campfire contrasts itself with: a longer implementation and modules. FloQast can sync close data with Campfire, so some teams keep a close tool beside the new ledger. Bench does not cover this job.

Controllers stick when the revenue schedule, the entity consolidation, and the close are the work that outgrew a single company file, and they want that work in the ledger instead of in spreadsheets. The assistant groups transactions for a person to review. Campfire's own team maps the chart of accounts and the connections before the first close.

Pricing

There is no public sticker. campfire.ai/pricing was a 404 on 2026-10-12. The pricing note says the quote depends on how many legal entities you have, transaction volume, whether revenue is a simple subscription or a multi-element usage model, and how many integrations you connect. Adding finance staff does not add seats. Implementation is included, and they say you do not hire an outside partner. A 5-person shop cannot read a monthly price off the site. Ask what is in the first quote versus what is added after go-live.

Close runs in Campfire: checklists, reconciliations, and flux review, with the statements coming from this ledger.

A CPA works in Campfire or from its reports and the transaction trail back to the source system. A 1099 filing workflow was not on the pages reviewed. After cutover, QuickBooks is the old system, not a live sync.

Features

Keep the general ledger in Campfire
Invoices, contracts, payroll, and expenses are meant to land in Campfire and stay reconciled there. Campfire's docs call this the system of record, in place of QuickBooks or NetSuite. Bank feeds from the banks they list post on a daily or automatic cadence, depending on the bank. You review what the assistant groups, rather than coding every line from a bank screen in QuickBooks.
Recognize revenue from the CRM and the billing tool
Salesforce and HubSpot send contract and deal data. Stripe, Chargebee, Recurly, and Orb send billing events. Campfire says it applies recognition for subscription, usage, tiered, and hybrid models, including ASC 606, without a side spreadsheet. Their buyer notes say QuickBooks has no native revenue recognition for deferred revenue and multi-element contracts.
Close with a checklist inside the ledger
The homepage lists close checklists, flux analysis, account reconciliation, and duplicate detection. Payroll journals come from Rippling, Gusto, ADP, Justworks, or Sequoia. Card and AP activity can come from Ramp, Brex, BILL, Payhawk, Routable, or Airwallex. FloQast is a listed sync for close status, which means Campfire is the ledger and FloQast can still sit beside it.
Consolidate entities without a second login
Campfire describes multi-entity consolidation, intercompany eliminations, and statements across subsidiaries without logging in and out of separate company files. Their QuickBooks comparison treats QuickBooks Online as one entity at a time. Inventory and cost of goods can post from Cin7 or DOSS. That is a sync into the ledger, not a claim that Campfire is a warehouse system.
Quote the whole platform, not seats
Campfire's pricing note, updated June 9, 2026, says price follows legal entities, transaction volume, revenue-model complexity, and integration count. It is not per seat. They say every plan includes the full platform, implementation by Campfire's team, support, and standard integrations such as Salesforce, Stripe, Ramp, and Rippling. Most go-lives are described as 4 to 8 weeks. campfire.ai/pricing returned a 404 on the day of this review.
