Our take
- Best for
- A finance team that will not leave Excel and wants live actuals, a budget workflow, and a published cap on users and integrations.
- Not ideal if
- A bookkeeper who only needs QuickBooks Online or Xero reports, or a team that needs month-end close software on the cheapest plan.
- Standout
- The pricing page publishes the gates (2, 5, or 15 users, and 1, 2, or 3 integrations) even though every dollar amount is a quote.
About Datarails
Datarails FinanceOS connects the spreadsheets a finance team already uses to live data from the ledger and other systems. The FP&A page says you stay in Excel, map the chart of accounts once, and plan, budget, forecast, and report from that governed layer. The QuickBooks page says both QuickBooks Online and QuickBooks Desktop sync into that environment, and the books stay in QuickBooks. The company FAQ says the ERP remains in place and Excel models stay connected to current, traceable numbers.
Vena is the other Excel-native FP&A suite in this directory, also quote-only. Jirav is a three-statement planning app on QuickBooks Online or Xero with a published price, and the work happens in Jirav rather than in your existing workbook. Fathom and Spotlight Reporting build the management pack on the ledger. FloQast and Numeric run close checklists and reconciliations. Datarails puts planning, reporting, and dashboards in the Excel layer. Month-end close, cash, spend, and a finance desk are separate modules, and the pricing page puts close and cash on Expert, not on the entry plan.
Controllers stay when the board pack is an Excel model they refuse to rebuild, and they want version control, permissions, and a live lookup instead of another export. The pricing page shows what changes by plan even though the dollars do not: Professional is 2 users and 1 integration, Premium is 5 users and 2 integrations, Expert is 15 users plus 50 viewers and 3 integrations. A one-ledger shop can start on Professional. A second system waits for a higher plan or a sales conversation.
Pricing
On 12 Oct 2026 the pricing page showed Professional, Premium, and Expert with Request Quote and no dollar amounts. Professional is 2 users and 1 integration. Premium is 5 users, 2 integrations, and Spend. Expert is 15 users plus 50 viewers, 3 integrations, plus cash, close, receivables, and Desk. A one-company QuickBooks file can fit the single integration on Professional. A second system, or close software, is a higher plan. There is no way to total a 5-person bill from the site.

You still close the ledger in QuickBooks, Xero, or the ERP. Month-end close checklists are an Expert module, not part of Professional. Reporting and the budget can update from the sync before that close is done.
You can hand the accountant an Excel report tied to the governed numbers, plus dashboard access in the mobile app. Datarails does not file the return. 1099 support was not documented on the pages opened.
Features
- Keep the Excel model, refresh the numbers
- The FP&A page says the product is Excel-native: existing models stay, and reports and plans update from connected data. Lookups pull a number from a period or entity into a report with a formula. Version control separates drafts from approved numbers. You still close the ledger in QuickBooks, Xero, NetSuite, or the other source system.
- Connect QuickBooks Online or Desktop
- The QuickBooks integration page says Datarails syncs both QuickBooks Online and QuickBooks Desktop into reporting and planning, and that teams keep Excel. The same page says Datarails connects to 600+ systems. The directory cards opened here also name Xero, NetSuite, Sage Intacct, Sage 50, Business Central, SAP Business One, Priority, Salesforce, and HubSpot.
- Plan inside a user and integration cap
- Professional includes reporting, planning, dashboards, 2 users, and 1 integration. Premium raises that to 5 users and 2 integrations and adds Spend (cards, bill pay, contracts). Expert is 15 users plus 50 viewers and 3 integrations, and adds cash management, month-end close, receivables, and Desk. AI storyboards and premium support are marked off Professional.
- Consolidate entities in the model
- The comparison grid includes, on Professional and above, multiple charts of accounts, currency translation, intercompany eliminations, allocations, and joint-venture investment accounting (NCI, equity, or cost). That work happens in Datarails. It does not replace the entity ledgers.
- Read dashboards on the phone
- The mobile page says the Datarails app shows financial dashboards. Store links on that page point to Google Play (com.datarails.app) and the Apple App Store listing Datarails FinanceOS. Planning and the Excel model stay on the web and desktop spreadsheet, not in the phone app description.

Pick something else instead of Datarails
Jirav
Pick Jirav instead if you want a three-statement plan on QuickBooks Online or Xero with a published price, and you can leave the model in Jirav.
Vena
Pick Vena instead if you are comparing another quote-only Excel planning suite and you want the model in Microsoft Excel on Vena's database.
FloQast
Pick FloQast instead if the job is the close checklist and reconciliations, not an Excel planning system. Datarails puts close on Expert.
