Our take
- Best for
- UK accounting practices on Xero or QuickBooks that want a licence and a 250-document allowance per client.
- Not ideal if
- A firm whose clients are on Sage 50 or FreeAgent, or a US shop that needs 1099s instead of UK VAT.
- Standout
- Line items split by account and UK VAT rate, with CIS, currency, and rental statements as explicit £0.15 add-ons.
About Eazycapture
Eazycapture is a capture inbox for a UK accounting practice. A client or the firm uploads a PDF, forwards an email, or snaps a photo in the iOS or Android app. It reads supplier, date, totals, UK VAT, and line items, checks for duplicates, and posts the approved bill to Xero or QuickBooks with the file attached. Each licence is locked to one named client. Sage 50 and FreeAgent are on a coming-soon list, not live connections.
Dext and Hubdoc publish bills into Xero or QuickBooks Online for firms that already use those inboxes. Dext is the wider practice tool. Hubdoc is the one many Xero files already include. Veryfi and DocuClipper aim at receipt and statement extraction, including US files. Nanonets is a document workflow you configure. Eazycapture is the UK practice version of that capture step: VAT rates, a per-client licence, and a 7-year archive with the original document still attached. CIS, foreign currency, multilingual invoices, and rental statements are priced as per-invoice add-ons, not as silent extras.
Firms that stay want the client's chart and VAT treatment applied before the bill hits Xero or QuickBooks. Line items are grouped by account and VAT rate, so a mixed invoice is not one lump sum. The practice adds a licence when it adds a client, and team members on the practice workspace are not an extra seat charge.
Pricing
Annual is £7 per client per month, billed as £84 per client per year plus VAT, and that licence cannot be cancelled mid-term. Monthly is £8.15 per client per month plus VAT. Each client includes 250 documents, then £0.15 each. Multi-currency, multilingual, CIS, and rental statements are £0.15 per invoice. Their 8-client monthly example, with 30 extra documents, totals £83.64 including VAT. The pricing page says a 14-day trial. The homepage says 30 days. Confirm which one you get.

Approved bills land in Xero or QuickBooks with the document attached. You still reconcile the bank and file VAT in that ledger.
The practice is the buyer. Clients upload into their own licence. The file the accountant closes is still Xero or QuickBooks, plus a CSV if the ledger is something else.
Features
- Capture a bill into a client inbox
- Upload in the browser, drag and drop, forward an email, or use the iOS and Android app. Clients can be invited to upload. A document is one invoice, receipt, or statement no matter how many pages it has. A 4-page or 6-page supplier invoice still counts as one document. Multi-invoice capture from a single photo is marked Coming Soon on the plan list.
- Apply UK VAT and the client's chart
- The pricing page includes VAT rate extraction with UK tax logic, line-by-line splits across VAT rates, and auto-coding to the client's chart of accounts. The homepage names 0%, exempt, EU VAT, and 20% as rates it detects. Prepayments, deposits, and fixed-asset identification are listed on the plan. You still approve before publish.
- Publish to Xero or QuickBooks
- The homepage says entries publish to Xero or QuickBooks with the original document attached, and that Sage and FreeAgent are coming soon. A Sage 50 page is a waitlist. The site says QuickBooks, not QuickBooks Online versus Desktop. CSV export is included if you need another package. Custom bridges beyond Xero or QuickBooks are scoped and priced separately.
- Buy one licence per named client
- One licence is one client. It cannot be shared, rotated, or moved to another client. The plan includes 250 documents per client per month. Above that, overage is £0.15 per document. Unlimited team members can sit on the practice workspace. There is no second feature tier.
- Turn on specialist add-ons per invoice
- Multi-currency conversion, multilingual documents, CIS subcontractor invoices, and rental statement processing are £0.15 per invoice and off until you turn them on. Smart query management and supplier statement reconciliation are marked Coming Soon with pricing TBC. The homepage also describes those ideas as product capabilities.
- Keep the file for seven years
- The homepage comparison says a 7-year archive, with the original document kept on the record. Month-end is still the ledger: you reconcile the bank and file VAT in Xero or QuickBooks. Eazycapture claims MTD-compatible digital records and VAT categorisation. The pages opened do not say Eazycapture itself submits the VAT return.
