About ExpenseOnDemand
ExpenseOnDemand is expense software, not a ledger. Employees snap a receipt in the iOS or Android app, forward it to [email protected], or log GPS mileage. A line manager and finance approve against your policy. On Essential, finance exports coded lines and receipts to Xero, QuickBooks, Sage, or Tally, and can roll a bad export back. You still close those books.
It does not replace QuickBooks Online or Xero. Ramp is the free US card program with SMS receipt chase. Expensify is the phone camera plus ACH payback at a published $5 seat. Zoho Expense has a free three-user plan and cheaper policy seats. Webexpenses is the other UK claim tool with issued Mastercard cards. ExpenseOnDemand's extra is activity-based seats from four users, VAT and GST handling on Essential, and a documented Xero marketplace connector that can pull card lines from Xero and push approved claims back.
People who stick usually already have Xero (or Sage or Tally) in the UK, EU, or India and want claims coded before they hit the file. Employees live in the phone app. Approvers sign off there. Month-end is review and an export, not a receipt hunt. They accept an annual contract. They know company-card matching is a paid credit-card function or a Pliant add-on, not a Ramp-style US charge card.

Close is review and export in ExpenseOnDemand, then reconcile in Xero, QuickBooks, Sage, or Tally. Essential can roll a bad export back. Card lines still need the paid credit-card function, a Xero card import, or a Pliant add-on.
Hand over the Xero (or QuickBooks/Sage/Tally) file after export, or Excel, PDF (with receipts), or CSV. A 2022 App Store review mentions inviting My Accountant. No US year-end tax package or 1099 e-file seen.

Snap a receipt, submit the claim
Photograph a receipt in the iOS or Android app, upload a PDF, or forward it to [email protected]. OCR fills merchant, amount, date, and tax. The vendor claims 99.9% scan accuracy on the mobile page. Up to five files (20MB combined) can attach to one expense.
Mileage with GPS and your rates
Claimants start GPS tracking or use Google Maps for the miles. Finance sets the rates, including EV home vs public charging. HMRC-style VAT on business miles is a configuration option. UK App Store reviewers still want a one-tap return trip.
Approve against the policy
Essential has line-manager and/or finance approval, daily caps, per diems, and a duplicate checker. Finance can edit a line instead of rejecting it (receipt stays). Premium adds a deputy, PA delegation, and attendee type. Enterprise adds extra counter-approver levels (FAQ: up to five beyond the line manager).
Export to Xero, QuickBooks, Sage, or Tally
Essential lists those four connectors, receipt export to Xero and QuickBooks, and a rollback if the batch was wrong. The Xero App Store listing (since 2019) shares contacts, tracking categories, tax rates, receipts, and currencies, and can import card lines from Xero then push approved claims back. Pages say QuickBooks, not Online versus Desktop.

FAQ: the credit-card function is available for purchase. The Xero listing describes drag-and-drop statement upload and auto-import of card lines from Xero for receipt matching. Issued cards are a Pliant partnership (virtual and physical), listed as a billed-annually add-on, not a Ramp-style US charge program.
Several entities, VAT and GST on the claim
FAQ: any number of legal entities, in one or more countries, on a single subscription. Essential includes multi-rate tax on one receipt and no-receipt / with-tax / without-tax rules. Global Tax, AP automation, projects and budgets, and the public API sit on add-ons or Enterprise.

US Essential shows $6.37 (Power User, all seats billed, suggested 4+) and $10.40 (active-user model) per user per month on an annual contract. A 5-person shop that bills everyone is about $32/mo ($382/yr) on Power User Essential, or $52/mo if all five are active on the $10.40 model. Premium is $9.10 / $12.35. UK list starts at £4.90 (they also show £8). Many orgs take a one-year term; pricing FAQ says the remaining balance still applies if you leave early. Card matching, Pliant cards, AP automation, Global Tax, and the API are add-ons or Enterprise, prices unpublished. Xero App Store advertises a 15-day trial. Ramp Free is $0. Expensify Collect is $5 per member.
