About Expensya
Expensya (rebranding to Medius Expense) is expense software, not a ledger. An employee photographs a receipt in the iOS or Android app, or forwards it. OCR+ fills merchant, date, amount, currency, and VAT. A manager approves on the phone. Finance exports PDF or Excel on Silver, or uses the documented QuickBooks, Sage, Cegid, or SAP connectors. You still close and lock the period in those books.
It does not replace QuickBooks Online or Xero. Ramp is the free US card program with SMS receipt chase. Expensify is the US phone camera plus ACH payback. Zoho Expense has a free tier and cheaper policy seats. Rydoo publishes dollar and euro seats and a Pro Xero export. Spendesk and Pleo are the other European card wallets. Expensya's extra is French legal archiving, URSSAF mileage, and Gold payment cards in EUR, GBP, SEK, DKK, NOK, and PLN.
People who stick are usually French or wider-EU teams that want the phone scan, VAT, and a paperless archive so month-end is an export, not a receipt pile. They accept euro pricing and a login that is moving to expense.medius.com. Bookkeepers care that Silver can map categories to QuickBooks, and that Gold unlocks Sage, Cegid, Quadratus, and SAP.

Official help opens the QuickBooks articles with "QuickBooks is no longer available in France," so the home-market connector is a dead end even though Silver still lists it.
Cards stop at European currencies
The cards page lists EUR, GBP, SEK, DKK, NOK, and PLN. USD issuing was not documented. Silver cannot buy the card pack.
The name and login are changing this month
Help says the product is becoming Medius Expense. expense.medius.com launched 13 Jul 2026. app.expensya.com stays until 30 Sep 2026, then redirects.

Close is review and export in Expensya, then reconcile in the ledger you already use. Silver can export PDF, Excel, or QuickBooks. Gold adds Sage, Cegid, Quadratus, and SAP. Help documents QuickBooks category mapping and a bank account for non-reimbursable card lines. Help also says QuickBooks is no longer available in France.
Hand over the PDF or Excel export, or the QuickBooks/Sage/Cegid file after sync. Expensya Expert is the firm workspace named in help. No US year-end tax package or 1099 e-file was documented.

Snap a receipt, file the report
Photograph a receipt in the iOS or Android app, even offline. OCR+ reads merchant, date, amount, currency, VAT, and tourist tax (Medius claims 93%+ accuracy and 70+ languages). Email forwarding is [email protected], moving to [email protected]. Unlimited Fast Scan sits on Silver and Gold.
Approve against the policy
Employees submit a report. Managers approve on the phone. Silver and Gold include multi-level validation. Gold adds automatic validation from expense policies, advances, and credit-card statement import. Medius Copilot can answer the loaded travel and spend policy.
Export to QuickBooks or a European ledger
Silver includes PDF, Excel, a dedicated accounting export, and a native QuickBooks connector (help also names Loop). Gold adds Sage, Cegid, Quadratus, SAP, full CSV, and the toggle that activates those integrations. Help maps Expensya categories to QuickBooks categories and can post reimbursable lines to an employee account. Help also says QuickBooks is no longer available in France. Xero is not on the official integrations hub.
Issue Europe cards on Gold
Gold can add unlimited physical and virtual Expensya cards for €89/month. Set limits, categories, vendor types, and days or hours. Apple Pay and Google Pay are documented. Card currencies on the official page are EUR, GBP, SEK, DKK, NOK, and PLN (Adyen issuing). USD cards were not listed. Silver has no card add-on. Enterprise sells cards as a separate add-on.
Mileage, per diems, and VAT
Mileage uses auto-calculated distance and reimbursement (URSSAF rates are listed for France). Per diems follow each country's tax-free amounts or a custom table. Silver and Gold both include multi-currency conversion and VAT recovery helpers. You still file US 1099s and payroll somewhere else.
Legal archive (Gold)
Gold stores receipts with probative-value archiving for France, Spain, Germany, and 20+ other countries (NF Z 42-013 is named on the product page). Silver has secure EU cloud storage only. Data residency copy on the SMB table is EU storage and EU data-protection rules.
Pricing
A 5-person shop on Silver is 5 × €5 = €25/mo billed yearly (€300/yr). Cards are not on Silver. The same five people on Gold are €40/mo yearly, or €129/mo if they add the €89 unlimited-card pack. Unit price steps down after 10, 25, 50, and 75 licenses. Over 100 users is a sales quote. Help says monthly billing exists, but the public table is annual. There is a 30-day trial with no credit card. US shops still pay in euros and do not get USD cards.
