ReceiptsAI

Redact sensitive words before AI reads the receipt, then export CSV, Excel, or PDF.

Best for

Owners in privacy-sensitive fields who want receipts captured with redaction built in, and who will import a CSV, Excel, or PDF into the books themselves.

Not ideal if

Anyone who needs receipts flowing into QuickBooks Online or Xero automatically.

Standout

You define sensitive words and they are redacted before AI processing, which is still unique in BookkeepDIY's receipt-capture ranking.

About ReceiptsAI

ReceiptsAI is a capture tool, not a ledger. You photograph a receipt in the browser, drag in JPG, PNG, or PDF (bank and card statements as PDF), or forward mail to a private ReceiptsAI address. AI extracts merchant, dates, amounts, tax, line items, and other fields (official FAQ: 50+). You review, categorize, then export CSV, Excel, or PDF and import that file into QuickBooks Online or Xero yourself. There is no native publish button.

It sits next to the file, thinner than Dext, Expensify, Receipt Bot, or Shoeboxed. Those four can push into QuickBooks Online or Xero. ReceiptsAI stops at the spreadsheet.

People who stick want redaction before AI sees the page: you name the words (client names, account numbers) and they are stripped first. They also want a cheap credit meter and a 30-credit free start. A CSV import is enough for their close.

What people who used it say

What they tend to like

  • Redaction before AI processing

You name the words that should not leave the building. BookkeepDIY's receipt ranking picked this as the only privacy-first option in that lineup.

  • Cheap to try, then export a file

30 free credits and a $19 Starter meter. Fine if you will import CSV or Excel yourself.

  • Line items and custom rules

Official extract FAQ includes line items among 50+ fields. You can split one receipt across categories.

What they hesitate about

  • No live books sync

QuickBooks Online and Xero are a file import, not a publish button. That is hours at month-end if you expected Dext-style sync.

  • Web-only, page-metered

No native apps. Every plan has a credit cap. Premium+ is 1,500 pages, not unlimited.

  • Thin independent review record

Vendor badge is 4.5 from about 20 reviews. Public forums this pass were noisy with a different product, receipt-ai.com.

You still export CSV, Excel, or PDF, import into QuickBooks Online or Xero, then match the bank feed and lock the period there.

Send the spreadsheet and, if you included them, the original images in the export ZIP. There is no year-end tax package and no 1099 e-file.

Features

Redact before AI sees it

You define sensitive words or numbers (client names, account numbers). They are stripped before AI processing. Official policy: ignore personal emails, never sell data, delete on request.

Photo, bulk upload, or email forward

Snap in the mobile browser, drag up to 10 files, or forward to a private address with a Gmail, Outlook, or Zoho Mail rule. English documents. JPG/PNG for receipts; PDF for bank statements. No native iOS or Android app.

Extract 50+ fields, including line items

Official FAQ: merchant, dates, totals, tax, currency, payment, line items, and statement balances. You review side-by-side, then export. Vendor says 99%+ on clear documents; they still tell you to check.

Categories, rules, and industry templates

AI assigns a category. You add custom categories and rules, or start from an industry template. Starter: 30 categories and custom rules. Premium: 100.

Export CSV, Excel, or PDF

Select documents, export .csv or .xlsx (ZIP by type), optional original files in a folder. PDF reports are also named. You import into QuickBooks Online or Xero. There is no native sync.

Workspaces and connected mailboxes

Starter is one workspace and a forward-to address. Premium adds a second workspace, two connected Gmail or Outlook mailboxes, routing, receipt matching, and historical FX. Premium+ goes to 5 workspaces, 2 users, and 5 email-only senders.

Pricing

A shop at about 100 simple pages a month pays $19, or $144 a year if they take Starter annual. About 500 pages lands on Premium at $29 a month ($288 a year). A 5-person shop that emails receipts in needs Premium+ at $49 a month for 1,500 credits, 2 users, and 5 senders. There is no unlimited tier. Extra volume is upgrade or contact. Free is 30 credits to start, not 30 every month.
