About Sage Expense Management

Sage Expense Management (formerly Fyle) sits on the business cards you already carry. It is not a ledger and it does not issue a new card program. Visa and Mastercard charges show up in seconds. The cardholder gets a text asking for the receipt. Reply with a photo, or send it from Gmail, Outlook, Slack, or the phone app. The line is coded and matched. Approved expenses export to QuickBooks Online or Xero. You still close the books there.

It does not replace QuickBooks Online or Xero. Ramp puts limits on a company card at the swipe. Expensify is reimbursement-first if people still pay out of pocket. Zoho Expense is the cheaper policy and approval layer. Dext is a bookkeeper inbox for receipts and supplier invoices, not a real-time card feed. This product's job is keep-your-card visibility plus a text receipt chase.

People who stick have a rewards card or a bank relationship they will not give up, and employees who will text a photo but will not open another app. Month-end is reviewing matched card lines, not hunting a statement pile.

Real-time feeds on the cards you already have

Connect existing Visa and Mastercard business cards. Charges land in seconds. American Express physical cards typically sync within 24 hours; Amex virtual cards issued here get instant alerts. You keep the bank rewards program.

Text a receipt after the swipe

The cardholder gets a text when the charge posts. Reply with a photo. Receipts also come in from Gmail, Outlook, Slack, email forwarding, or the iOS and Android app. OCR reads merchant, date, and amount, then matches the receipt to the card line.

Sync coded expenses to QuickBooks Online or Xero

Growth includes two-way QuickBooks Online and Xero. Import the chart of accounts and dimensions. QBO can export reimbursable spend as expenses, checks, journal entries, or bills, and card spend as credit-card purchases, bills, or journal entries. Xero exports reimbursable spend as purchase bills and card spend as bank transactions. QuickBooks Desktop is extra cost.

Policy flags after the spend

Set receipt mandates, category rules, and spend-limit flags. Growth is single-stage approvals. Business adds multi-org and multi-stage paths. Flags do not decline an existing Visa or Mastercard at the terminal.

Mileage, per diem, and personal cards (Growth)

Growth includes mileage (standard IRS rate on the plan table), per diem, personal card management, and a statement parser when a live feed is not available.

ACH reimbursements and multi-entity (Business)

Business (minimum 10 active users) adds US ACH reimbursements, project tracking, multi-currency and multi-entity, custom exports, and Sage Intacct or Sage 300 CRE (implementation fee). Growth support is email and a knowledge base unless you pay for chat.

Pricing

Growth floors at 5 active users: $11.99 each, billed annually, so a 5-person shop pays $59.95/month ($719.40/year) even if only three people swipe. Eight active users is about $95.92/month. ACH reimbursements and multi-entity need Business, which floors at 10 seats ($149.90/month). Add an unpublished implementation fee. Ramp and BILL Spend & Expense charge $0 for the software.
