Our take
- Best for
- Mid-market and enterprise teams that need policy-heavy expense reports, optional travel booking, and invoice capture next to QuickBooks Online, Xero, or an ERP.
- Not ideal if
- A 1–50 person US shop that wants to start expenses this week. Expensify, Ramp, or Zoho Expense will be cheaper and faster, and you will still close in QuickBooks or Xero either way.
- Standout
- Approved expense reports (and invoices, if that module is on) can post as bills and card lines into QuickBooks Online or Xero without a spreadsheet import.
About SAP Concur
SAP Concur is travel, expense, and invoice software, not the ledger. Employees capture receipts, import corporate-card charges, and submit an expense report. Policy rules flag out-of-policy lines before approval. After a processor signs off, the QuickBooks Online or Xero connector can post reimbursements as bills and card spend as credit-card or bill transactions. You still close those books.
It does not replace QuickBooks Online or Xero. Expensify is the published-price reimbursement app for a small team. Ramp puts limits on a company card and the software starts at $0. Zoho Expense is the cheaper policy-and-approval layer. Navan and Perk book travel and expenses in one app without an SAP sales cycle. Concur Invoice is a separate AP product (capture, approval routing, PO matching). Travel booking sits on Premium.
Finance teams keep it when they already have travel policy, employees in more than one country, and a controller who wants one report path. Employees live in the mobile app. The usual reason to stay is that the policy engine and approval tree are already built, and ripping T&E out is a project.
Pricing
Official Base starts at $7 per report, Plus at $11 per report, unlimited users (fetched 12 Sep 2026). Price varies with monthly commitment; larger contracts pay less per report. Buy now on Base and Plus is a contact form. Premium is custom and is the card that lists Travel and Intelligence. Concur Invoice is not on those three cards; treat it as a separate quote. A five-person shop that filed 20 reports a month would see a $140–$220 sticker at those floors before commitment minimums, implementation, and add-ons. That is still a sales conversation. On r/SAP a small business canceled before go-live and was charged $7k++. Custom fields, extract files, and FTP work can sit on separate paid support subscriptions. Do not use third-party implementation tables.

Smaller businesses with basic expense reporting. Unlimited users. Sales still quotes the real number.

Employees submit reports. Approvers sign off. A processor posts to QuickBooks Online, Xero, or the ERP. Late reports and extract delays are the close problem. You still rec and lock the period in the ledger.
The CPA opens QuickBooks Online, Xero, or the ERP. Concur holds the receipt, approver, and report audit trail. It is not a year-end tax package.
What people who used it say
What they tend to like
Receipts match card charges without a spreadsheet
Official App Center and ExpenseIt pages: OCR fills the line and matches the card charge when it lands. Processors post or recall from the audit trail.
One T&E stack when travel, expenses, and invoices already sit together
Homepage FAQ: expense, travel booking, and invoice PO matching on one platform. That is why controllers keep it after go-live.
Standard reports exist for people who have not submitted
On r/Accounting, an admin pointed to Intelligence standard reports for unsubmitted reports, with a one-day delay on that reporting version.
What they hesitate about
Implementation can bill you before anything goes live
r/SAP: a small business canceled Concur for travel expenses before setup and was charged $7k++. Commenters said Concur still sells to shops that would never buy other SAP products.
Support is split, and extras are extra subscriptions
r/SAP: one change needed Configuration Services, Extract Services, and FTP Configuration, each a different team and some a paid add-on. Replies said support has declined.
Close waits on late reports, and custom queries can lag
r/Accounting: month-end extract is only as good as on-time submissions. Custom reports for unassigned expenses were not trustworthy. Invoice thread: small AP teams should skip Invoice; OCR and implementation are heavy.
Features
- Submit an expense report with policy checks
- Employees add card charges or out-of-pocket lines, attach receipts, and submit. Official FAQ: policy checks run before submission, not after. Approvers get the report. A processor releases it to the books.
- Snap receipts with ExpenseIt (Plus and above)
- ExpenseIt is listed on Plus and Premium, not Base. Photo or forward a receipt. OCR fills merchant, amount, date, and category and matches a card charge when it lands. Official: works offline and queues until the phone reconnects.
- Book travel on Premium
- Premium is the plan that lists Concur Travel. Employees book flights, hotels, and cars inside policy. Official homepage: works with any TMC or GDS. Travel is not on the Base or Plus cards.
- Capture vendor invoices and match POs
- Concur Invoice is a separate product. Official page: capture, OCR, approval routing, and purchase-order matching. It is not listed on the Base, Plus, or Premium cards. Sales quotes it.
- Post approved reports to QuickBooks Online or Xero
- App Center: pull GL accounts, vendors or contacts, and class or tracking categories. Reimbursements post as bills. Card spend posts as credit-card or bill transactions. The processor sees success or recalls a failed post. QuickBooks Desktop is documented for the US.
- Approve on the phone
- Official mobile app is for existing customers. Submit reports, approve expenses and invoices, book travel if Travel is on, and track mileage. Free download. Needs an active company subscription.

Pick something else instead of SAP Concur
Expensify
Pick Expensify instead if employees pay out of pocket and you want published seat prices (Collect from $5/member/mo) with QuickBooks Online or Xero sync, not a per-report SAP quote.
Ramp
Pick Ramp instead if you will move spend onto company cards with limits at the swipe. Ramp's software starts at $0. Concur manages reports after the purchase.
Zoho Expense
Pick Zoho Expense instead if you need policy rules, multi-step approvals, and mileage at a small-business seat price (free for 3 users; Standard from $3/user/mo yearly).
Navan
Pick Navan instead if travel booking is the main job and you want the trip, the card charge, and the expense in one app with published US prices, not Concur Travel on Premium.
