About Volopay
Volopay is a spend platform, not a ledger. You load a company wallet from a business bank (US and Australian shops also get local or SWIFT company accounts), issue physical and virtual Visa cards, and employees swipe or submit a reimbursement in the phone app. You verify the settled line, attach the receipt, then sync: card spend as Expenses in QuickBooks, or as bank transactions in Xero. Bills paid from Volopay land as bills. You still close and lock the period in those books.
It does not replace QuickBooks Online or Xero. Ramp is the free US charge-card program with SMS receipt chase. Brex covers cards, reimbursements, and travel for US teams. Expensify is the phone camera if people still pay out of pocket. Spendesk and Pleo are the European prepaid wallets. Volopay's extra is an APAC-first Visa stack (Singapore HQ; help lists Singapore, Australia, India, Indonesia, and the United States) plus Tally, MYOB, and Zoho Books for shops whose books are not only QuickBooks.
People who stick usually have a Singapore, Australia, India, or Indonesia entity, or they want one login for cards, claims, and vendor payouts that already talks to Xero. They accept a sales quote and they load cash before anyone swipes. Bookkeepers care that unsettled card lines stay pending until you verify them, then the receipt and memo go with the sync.

Accounting date may not win
The same Trustpilot thread says setting an accounting date in the current month still posted to the original document month. Help does offer an accounting-date override; treat it as a check, not a guarantee.
Wallet first, then the card works
You pre-fund. A Trustpilot reviewer in Indonesia said a large top-up was followed by a dead card and slow support. Help also lists region-specific rails and delays of hours to the next business day.

Wait for a ledger date, verify the line, then sync. Card spend becomes Expenses in QuickBooks or bank transactions in Xero. Reimbursements and vendor invoices become bills (a bill payment if you paid from Volopay). Top-ups and adjustments sync as other bank transactions. Lock the period in those books. Trustpilot reviewers say an accounting-date override can still post to the original document month; check the target period before you sync.
Invite an External Accountant on Volopay, or send the QuickBooks Online or Xero file after sync. Receipts and memos can travel with the line. Volopay does not produce a US year-end tax package. 1099 e-file was not documented. Payroll in Volopay is salary disbursement from the wallet, not US W-2 payroll.

Fund a wallet, then swipe a Visa card
Top up from a company bank (direct transfer; US and Australia also get local or SWIFT company accounts). Issue unlimited virtual Visa cards immediately, plus one physical card per person. US plastic is $25 per card and 8–14 days with tracking. Australia is A$4/user/month. Singapore is S$5 one-time. India is ₹500 per card. You load cash before anyone swipes.
Snap the receipt, or claim out of pocket
A purchase shows in the iOS or Android app. The cardholder photographs the receipt and adds a memo. Out-of-pocket claims sit on the same login; finance approves, then pays from the Volopay wallet or marks the claim as paid outside. Submission policies can require a receipt, memo, or accounting fields above a dollar amount.
Verify the line, then sync to QuickBooks or Xero
Connect QuickBooks, Xero, MYOB, Zoho Books, NetSuite, or Tally. Chart of accounts, tax codes, and vendors pull in. You verify a settled transaction (it needs a ledger date), then sync. Card spend lands as Expenses in QuickBooks and as bank transactions in Xero. Receipts and memos go with the line. Unsettled expenses cannot be verified.
Vendor bills from the same wallet
Capture invoices, route up to five approval layers, and pay domestic or cross-border vendors from the wallet (homepage: 130+ countries, SWIFT and non-SWIFT). Optional continuous bill sync creates the bill in QuickBooks or Xero when you raise it in Volopay; after you pay, you can resync amount or due-date changes.
Virtual cards locked to a department or project
Create a virtual card, link it to a department, project, or budget, and set a one-time or monthly limit. Cards without a spending limit on a budgeted department or project will not process. Employees can request a higher limit; an admin approves it. Apple Pay and Google Pay are documented for Australia, Singapore, and the United States (not India).
Departments, budgets, and an accountant login
Admins invite Members and an External Accountant. Departments and projects can carry a flexible or hard budget. Company-wide or department policies set who approves cards, bills, and claims. This is one company workspace with locations, not a multi-entity US ledger.
Pricing
A 5-person US shop talks to sales. The US pricing page names Premium card and Accounts payable automation and prints no software dollars. Australia publishes from A$25/mo, depending on the billing plan. US plastic is $25 per card (8–14 days). You also pre-fund the wallet; cards do not work on empty balance. FX, international transfer, and ATM fees are unpublished on the pages we fetched (US AP module lists $0 domestic transfer). Homepage marketing mentions 12-month free trial offers; the pricing pages we fetched do not. There is no Ramp-style $0 charge-card plan.
