About Xtracta

Xtracta is a document capture layer, not the ledger. You email, upload, drop files in the web portal, send SFTP, snap in the customer app, or post through the API. The engine reads invoices, receipts, and other documents, checks totals and supplier matches, and flags low-confidence fields. Xtracta or a partner then delivers the structured data, plus a copy of the original file, into the accounting or ERP system you already use. Named connectors include Xero, MYOB (including Greentree eDocs), NetSuite, Sage, SAP, Microsoft Dynamics, and Oracle. QuickBooks Online is not on that list. You still close in those books.

It sits next to the file, like Dext or Vic.ai, not instead of it like Kick. Dext is the bookkeeper tool with a published US price and a Publish button into QuickBooks Online or Xero. Vic.ai is US mid-market AP that can post to QuickBooks Online. Nanonets is a self-serve extract-and-export workflow with documented QuickBooks Online export. Xtracta's job is sales-led capture for shops already on Xero, MYOB, or a larger ERP, or for software vendors who embed the engine under their own brand.

People who stick are AP teams and NZ/AU partners who already live in MYOB Greentree, Xero, or a similar file, and who have hundreds of invoices a month. Official copy says this is not a self-service sandbox: their team configures it on your documents, with 90 days of support. Software companies also embed it as a white-label receipt or invoice engine.

  • You cannot just sign up and snap

    Official integrations and how-it-works pages: this is not a self-service sandbox. Their team sets it up on your documents.

  • This class of tool is expensive

    A 2022 r/rpa comment grouped Xtracta with other unstructured-document vendors and called those solutions expensive versus generic capture.

  • Legal and odd layouts may still need templates or training

    A 2023 r/artificial comment said Xtracta worked on template-based legal documents. Support docs still describe classification, a five-document string-classifier train, and class types that need Xtracta support.

You capture and validate in Xtracta. Coded invoice or receipt data, plus the original file, is meant to land in Xero, MYOB, or the ERP. Close, pay, and reconcile still happen there.

The CPA opens the ledger Xtracta writes into. There is no Xtracta year-end tax package and no 1099 e-file.

Send documents by email, portal, SFTP, API, or phone

Forward to a dedicated inbox, drag and drop in the web portal, drop a batch on SFTP, post through the REST API, or snap in the iOS or Android app. Official formats include PDF, JPG, PNG, TIFF, DOC, XLS, and email attachments. The phone app only works if you already have a Xtracta login and a workflow.

Extract invoices and receipts without a template per supplier

Tell the engine which fields you need (supplier, dates, totals, tax, line items, PO number, bank details). Vendor copy: no template per layout. Support docs still classify documents and train on the Learning tab; some class types need Xtracta support.

Check totals and match suppliers before anything lands

Official how-it-works: math checks (does the total add up), supplier matching, date and currency formatting, and duplicate flags. Uncertain fields go to a person. One correction on the Engine Learning Screen is meant to teach the next file.

Review misses in the web workspace or the app

Support: documents move through OCR, extraction, validation, then Indexing, Quality Assurance, or Output. The customer app can edit extracted fields and send a file to Output, Reject, Indexing, or QA. Field values stay; original PDFs and JPGs are deleted after 90 days unless they are in Learning.

Deliver into Xero, MYOB, or a named ERP

Integrations directory names Xero, MYOB (AccountRight, Exo, Advanced, Greentree eDocs), NetSuite, Sage, SAP, Microsoft Dynamics, Oracle, and others. Case studies show MYOB Greentree eDocs posting invoices with the PDF attached. QuickBooks Online is not listed. You still pay vendors and close in that file.

White-label or API for software vendors

ISVs embed the engine so end users stay in the partner product. Official: branded UI, branded mobile app, branded email. REST API accepts JSON or XML. This path is for product teams, not a DIY owner buying capture for Saturday books.

Pricing

Official pricing is unpublished. The vendor says per-document, no seat licences, no platform fees, and you talk to the team or a partner. Support FAQ (updated 7 Jul 2026): monthly, annual, and free or trial plans; some partners use about 10 documents a month free, or a trial of up to three months. When you hit the allowance, extra files sit in pre-processing until the plan renews or upgrades. A five-person / ~500-txn US shop should not buy this. Hidden cost is implementation (official: days of setup, 90 days supported), not seats. Do not use third-party reseller dollar tables as Xtracta's list price.
