Examples
Customer balances that foot to AR
You run a heating company. On June 6 you invoice an animal-clinic client $2,680 for a rooftop unit, on June 11 you invoice a dental-office client $1,415 for a walk-in cooler, and on June 18 you invoice a school $890 for classroom vents. Accounts receivable on the balance sheet shows $4,985; that controlling account is the one general ledger total, not the subsidiary ledger. Open the A/R aging in QuickBooks Online and you see the animal clinic $2,680, the dental office $1,415, and the school $890. Those customer accounts are the subsidiary ledger, and they foot to the AR control.
The aging no longer matches the GL
You run a coffee roastery. On September 19 a $1,080 wire from an inn hits the bank feed; you categorize it to accounts receivable instead of using Receive payment. At the September 30 close, AR on the general ledger is $6,220 and the A/R aging still totals $7,300. The aging is the subsidiary ledger of customer accounts; the GL line is the controlling account, and they no longer foot. Undo the bank-feed category, receive the payment on the inn's invoice, and do not close September until both totals match.
Why it matters
A subsidiary ledger is the detail book behind one controlling account on the general ledger: customer accounts behind accounts receivable, vendor accounts behind accounts payable, or a note register behind notes receivable. You post to it every time you invoice, enter a bill, or take a payment, and you prove it foots to the control at every month-end if you sell or buy on account. The control is the one total; the subsidiary is the list that must add up to that total. Skip the tie-out, or journal straight to the control and leave a customer or vendor blank, and the aging will not match the balance sheet, so you chase the wrong people or trust a receivable total nobody's invoices support.
