About ExpenseMonkey
ExpenseMonkey is an expense inbox, not a ledger. You photograph a receipt in the iOS or Android app, upload a JPG or PDF on the web, or forward it to a unique email address. AI fills vendor, date, amount, tax, and a category. You tag the line to a project or client, send it for approval, and mark it reimbursed after you pay the person. On Pro, approved expenses can sync to Xero as bills or spend money transactions with the receipt attached, using your Xero chart of accounts and tax rates. If you are not on that sync, you export CSV or PDF and finish in the file you already keep.
It does not replace QuickBooks Online or Xero. Expensify and Zoho Expense are fuller T&E suites with policy rules and, on paid plans, payout rails. Receipt Bot is credit-priced capture with a staff check before a bill hits QuickBooks Online or Xero. ReceiptsAI redacts sensitive words and exports a file; it does not sync. ExpenseMonkey is the cheap snap-and-approve path. It does not issue cards or decline a swipe. Pro also names a QuickBooks connector, but the public pages do not say Online vs Desktop, and there is no dedicated setup guide.
People who stay are usually freelancers and small teams who were doing expenses in a spreadsheet and do not want a new card program. Forward email receipts (Pro)
Send a receipt or invoice to your unique ExpenseMonkey address. The extract becomes a draft expense for review. Pricing FAQ and the Pro card put email forwarding on Pro; the comparison table also checks it on Light.
Approve, then mark reimbursed
Employees submit. Managers or the owner approve or reject with a comment. After you pay the person outside the app, a manager updates the status to reimbursed. There is no documented ACH payout.
Tag projects and export CSV or PDF
Assign each line to a category, project, or client, then download CSV or a PDF report (receipts can be included). Use that for client billing or a CPA handoff when you are not on a live sync.
Push approved expenses to Xero (Pro)
Connect Xero from Settings, pull the chart of accounts and tax rates, and sync only approved expenses as bills or spend money with the image attached. Owner, admin, or accountant role can set it up. Geography limits apply.
Mileage, currencies, and chat connectors
Log a trip by start and end address with your per-mile or per-km rate. Foreign-currency receipts convert to the org currency using the receipt date. Pro includes read-only ChatGPT and Claude MCP connectors.
Pricing
Light is $0 with 5 AI scans for the whole team each month. A 5-person shop on Pro yearly list is $24.95/month ($299.40/year) if every submitter is a paid seat. Checkout may treat accountants or view-only users as seats; that was not confirmed. The Monthly toggle exists; the public HTML only showed $4.99 / $59.88 yearly. Accounting sync is Pro. No card interchange.
