ExpenseVisor
Snap receipts in DocScan, run approvals, and send T&E reports to QuickBooks, Xero, NetSuite, or Sage.
Best for
US shops that want a sales-configured T&E approval stack and a Charlotte phone number, and will close in QuickBooks, Xero, NetSuite, or Sage.
Not ideal if
Anyone who needs a documented QuickBooks Online or Xero connector, a self-serve $5 seat, a company card, or a receipt cabinet they can use without buying the full T&E system.
Standout
Workflow Bump: set how long a report can sit, then escalate it so reimbursements do not stall in one inbox.
About ExpenseVisor
ExpenseVisor is a travel-and-expense app from PayService.Com Inc in Charlotte. It is not the ledger. You snap a receipt in the DocScan iPhone or Android app, upload a file, or forward an email. The line lands in a report. A manager approves it. If the report sits too long, Workflow Bump moves it to the next approver. Approved expenses are supposed to sync to the accounting system you already use. You still close the books there.
It does not replace QuickBooks Online or Xero. Expensify is the self-serve snap, approve, and ACH path with documented QuickBooks Online and Xero connectors. Ramp puts limits on a company card. Zoho Expense publishes cheaper seats and a free tier. SAP Concur is the enterprise T&E desk. ExpenseVisor's job is a sales-configured approval stack (pre-approval, executive-assistant submit, workflow bump) for teams that want a Charlotte phone number, not a card program.
People who stay look like long-tenured offices that want a person on the phone and a workflow they can bend. DocScan only works if your firm already bought ExpenseVisor and turned the scanner option on. The public iOS app is a companion wallet, not a standalone receipt cabinet.
What people who used it say
What they tend to like
A person answers
Vendor-hosted pricing-page comments praise phone support that contacts the end user. Treat as vendor-hosted, not a forum thread.
They stayed for years
One vendor-hosted comment says eight years of service and a fast response from a real person.
Audit lines for a show P&L
A named pricing-page comment (Kenneth) says the audit function helps add internal employee cost into large-show profit-and-loss work.
What they hesitate about
The phone app feels old
A May 2024 App Store review called DocScan a time-travel app back to the 1980s and the worst app they had to use. Latest iOS build fetched this pass was 3.4 (4 Dec 2024).
Almost no public owner talk
Reddit, HN, and Indie Hackers searches for ExpenseVisor / Expense Visor / expensevisor.com returned no useful bookkeeping threads this pass.
You cannot just buy a seat
Premium prints $7.50/user but both cards go to Contact Sales, and the floor is $75/month.
How it hits your books
- Replaces your ledger
- No
- Inventory
- No
- Payroll
- No
Close still happens in the ledger. ExpenseVisor is the receipt, report, and approval layer. Charlotte marketing claims credit-card reconciliation and project tags. We did not open a help article that shows the export object (journal, bill, or check) or Online vs Desktop.
Vendor copy promises audit-ready reports and stored receipt images. There is no documented year-end tax package. What a CPA actually gets is whatever sync or export sales configures.

Features
Snap a receipt into the ExpenseVisor wallet
Photograph a receipt in DocScan (iOS or Android), pick one from the camera roll (iOS v3.1+), or upload or email a file. Date, vendor, amount, and description are editable. The image waits in the wallet until you attach it to a report. DocScan is free only if your firm is already a PayService client and has optioned the scanner.
Submit the report, approve, then reimburse
Expenses categorize into a report. You can tag a project or department. A manager approves. Homepage copy says approved expenses sync to accounting software and employees get reimbursed. The public site does not name the payout rail (ACH, check, or payroll).
Ask before the money goes out
Spend Pre-Approval lets you request authorization before the spend. Official feature page: role and department limits, custom policies, and an audit trail. This is policy control, not a lock on a company card.
Bump a stalled report to the next approver
Set the approval path and how long a report can sit. If nobody acts, Workflow Bump escalates it. Official page also lists notifications, bump reporting, and a manual override.
Let an assistant file; keep the exec on approve
Assign an assistant to an executive. Official feature page: the assistant can create, update, and submit reports without the executive's password, and cannot approve or re-delegate.
Mileage, per diem, and extras on Premium+
Premium+ (25+ members, quote only) lists mileage and per diem, bill pay and invoicing, bulk uploads, multiple approvers, and custom integrations. How mileage is captured (GPS vs typed) is not documented on pages we opened.
Pricing
The printed seat is $7.50 per user per month, but Premium has a $75 monthly floor, so a 5-person shop pays $75, not $37.50. Ten users is still $75. Fifteen users is $112.50. Both plans are Contact Sales. Pricing FAQ mentions a free trial; the homepage CTA is Schedule a Demo. Premium+ is quote-only and 25+ members. No published card, interchange, setup, or implementation fee. The reimbursement rail is unpublished.
