About Mobilexpense
Mobilexpense is expense software, not a ledger. The mid-market product is Declaree. Employees photograph a receipt in the iOS or Android app, or log mileage and a daily allowance. A manager approves against your rules. Finance then exports: Exact Online books the approved report on the right ledger and creditor, with the PDF attached. Twinfield gets a journal. Everyone else can download Excel, CSV, TXT, or XML, or send a file over SFTP. You still close and lock the period in those books.
It does not replace QuickBooks Online or Xero. Ramp is the free US card program with SMS receipt chase. Expensify is the phone camera plus ACH payback at a published $5 seat. Rydoo is the other European expense app, with self-serve seats from five users. Zoho Expense has a free tier. Mobilexpense's extra is European VAT and per diem rules, a documented Exact Online booking, and Visa credit cards issued by Pliant in Finland if you want the swipe on the same login.
People who stick are usually Dutch, Belgian, German, or other EU teams of 20 or more that want the phone scan and the policy in one app so finance is not chasing paper. They accept a demo and a 20-seat floor. Bookkeepers care that Exact Online and Twinfield have real export wizards, and that a custom file still exists when the ledger is something else.

The phone scan fills the fields
Trustpilot comments describe snapping a receipt and getting most of the form filled. That matches the official OCR pitch (merchant, amount, date, currency).

Trustpilot reviewers call submit, review, and approve easy, and say a monthly card-expense check takes a few minutes once receipts are in.
Card charges land already started
Official cards and case-study pages describe the swipe creating the expense so finance is matching receipts, not typing statements. Trustpilot users describe the same monthly card flow.
What they hesitate about
The new app blocked edits
Two US App Store reviews in January 2025 said the rebuilt Declaree app let them photograph a receipt but not edit the expense, and reports showed a red slash. Vendor asked them to contact their company admin.
Login and SSO can hang
An August 2025 App Store review said SSO would not complete and the login screen hung. A Play comment called sign-in frustrating.
The 2024 app rewrite split the install
Play comments about the new app mentioned a second install, a pin-setup dead end, and analytics opt-in. Treat as rollout friction from the late-2024 app, not a current SLA.

Close is review and export in Declaree or MXP, then reconcile in the ledger. Exact Online can auto-export approved reports about once a minute and attach the PDF. Twinfield is a journal export. Other books are a custom file or SFTP. Card lines still need a Mobilexpense card or the BYO-card add-on.
Hand over the Exact Online or Twinfield file after export, or the Excel/CSV/XML download. No US year-end tax package or 1099 e-file seen. Accountant seating is unpublished.

Features
Snap a receipt, submit the claim
Photograph a receipt in the Declaree iOS or Android app (iOS 17.2+). OCR fills merchant, amount, date, VAT, and currency. The app keeps working offline and syncs when you reconnect. All expense types sit on both published plans we saw.
Mileage and daily allowances
Log a trip with Google Maps mileage and your legal or company rates. Daily allowances (per diems) use a template or custom rules. Variable mileage rates are an add-on. Languages on Declaree: Dutch, English, French, German, Italian, Portuguese, and Spanish.
Approve against the policy
Use a workflow template or build your own. Business rules flag out-of-policy lines before anyone reimburses. User groups control who sees which claims. Multi-level projects and cost centres are an add-on.
Export to Exact Online, Twinfield, or a file
Declaree has a documented Exact Online API: approved reports book to the ledger and creditor, with the PDF attached. Twinfield exports as INK, MEMO, or PNV journals. Help also lists BambooHR, HiBob, Personio, AFAS, and Nmbrs. Pricing names QuickBooks Online, Exact Globe, SAP, and Dynamics; the English Connections index has no QBO wizard, so treat that as a file or sales-built connector unless you confirm it. Custom Excel, CSV, TXT, XML, or SFTP is always there.
Issue Visa cards, or connect the ones you have
Mobilexpense cards are Visa credit (virtual or plastic: Blue Platinum Business or Black Infinite Business), issued by Pliant Oy in Finland. Not prepaid. Pricing lists them from €4 per user per month. Set amount, frequency, and merchant-category limits; freeze or terminate from the admin screen. Bring-your-own bank cards are a priced add-on.
VAT, CO₂, and European compliance packs
Country-specific VAT rules sit on Declaree. MXP adds 100+ country coverage, multi-entity, SSO, and EU packs the pricing page names (GoBD, Spanish homologation, URSSAF). CO₂ tracking from travel lines is an add-on.
Pricing
A 5-person US shop cannot buy it. Declaree and MXP both list a 20-user minimum. Twenty Declaree seats are 20 × €8 = €160/mo before cards or add-ons. If those 20 people also carry a Mobilexpense Visa card at the published €4 floor, add €80/mo (€240/mo combined) before BYO-card, multi-level project, variable mileage, CO₂, or HR modules. Billing period beyond 'per month / user' is unpublished (no annual discount printed). Volume discounts are a custom proposal. CTA is Book a demo, not self-serve signup. Ramp Free is $0 for a US-only card program. Expensify Collect is $5 per member. Rydoo Essentials starts at five seats.
