About Neat
Neat is a receipt cabinet, not the ledger. You snap a photo in the iOS or Android app, forward e-receipts to your @neatcloud.com address, drag a file into the web app, or scan through the desktop app on Mac or Windows. OCR plus human verification pulls vendor, date, amount, tax, and payment type. You review, assign a US or Canadian tax category, and on Yearly plans you send receipts and bills to QuickBooks Online. You still close in QuickBooks, or you download an expense report for your CPA.
It does not replace QuickBooks Online or Xero. Kick is the opposite: Kick is the ledger. Shoeboxed is the mail-in paper peer. Dext is the bookkeeper-grade capture tool that publishes into QuickBooks Online or Xero. Expensify is snap-and-reimburse for a team. ReceiptsAI is privacy-first and CSV-only. Neat's job is a searchable IRS-oriented filing cabinet for a freelancer or a 0–5 person shop, with an optional Automated Insights add-on that streams bank and card lines so you can match the receipt to the charge.
People who stick have often used Neat since the old portable scanner and now just photograph receipts on the phone. A 2024 App Store review (developer-replied) calls the cabinet excellent and the balance sheet unreliable. NeatBooks-style reports are the reverse of QuickBooks: attach a receipt to a downloaded bank line, not post a balanced entry.

Public small-business threads still ask for a receipting alternative to Neat, including more line-item detail than the cabinet extracts.
Legacy hardware and desktop confusion
Neat stopped making scanners in 2017. Help still has migration tools for old Windows and Mac desktop data. New buyers should expect the cloud app, not a bundled scanner.

On base Neat, close is still in QuickBooks or a spreadsheet: you review the cabinet and send receipts and bills. Automated Insights adds a monthly review that matches files to streamed bank and card lines. Help asks you to log in twice a month or the bank stream can drop. You still lock the period in QuickBooks Online if that is the file.
Invite the accountant (up to four extra users, folder limits). Export an expense report with images, or PDF/CSV P&L and balance sheet on Automated Insights. Tax-prep marketing also names a TurboTax export. Neat does not e-file the return or 1099s.

Snap, email, or scan into the cabinet
Photograph a receipt in the mobile app, forward it to your @neatcloud.com address, drag a PDF or image into the web app, or scan with the desktop app (Mac/Windows; TWAIN scanners and leftover Neat 1000-series hardware). Print-to-Neat is Windows only. New items land in Needs Review.
OCR plus human verification
ID2 reads vendor, date, amount, tax, and payment type. The pricing card also lists human verification of that extract. You still review before you send anything to QuickBooks. Split a mixed receipt across categories when meals or personal lines sit on the same slip.
Tax categories and a CPA-ready expense report
Assign US or Canadian tax categories as files land. Run an expense report (cover sheet, line list, optional source images) and export PDF or CSV, or email it to your accountant. Invite up to four extra users and limit them to folders. Neat does not e-file the return.
Send receipts and bills to QuickBooks Online (Yearly)
Yearly and Yearly + AI include a QBO connection. Map vendors, expense categories, payment types, projects, classes, locations, and products, then send reviewed receipts and bills. Simple Start, Essentials, and Plus work; Self-Employed does not. Simple Start accepts receipts only, not bills. One company file at a time. Items lock after send. QuickBooks Desktop is retired.
Bank feeds and receipt matching (Automated Insights)
The $150/year add-on streams bank, card, and loan lines, lets you map vendors to categories, and matches cabinet files to those charges. P&L, balance sheet, cash flow, and transaction detail reports run on that feed. Help: log in twice a month or the stream can drop. This is not a replacement ledger.
Mileage, invoices, and a desktop scanner path
Log mileage (odometer in/out) into the expense report. Automated Insights also lists custom invoices; payments are recorded by hand (no built-in processor named). Hardware scanners left the catalog in 2017. Bring your own TWAIN scanner if you still have a paper pile.
Pricing
A typical one-entity shop pays $200 a year for the cabinet, OCR, reports, and QBO send. Matching bank lines and P&L/balance-sheet reports is another $150 (Automated Insights), so $350 a year. VIP phone support is $50 more. Web checkout is yearly only. A 5-person shop with ~500 receipts still fits the same sticker if they stay on one Neat account (up to four extra users). App Store lists other IAPs, including monthly-looking prices; use the web card unless you buy in-app.
