About Receiptor
Receiptor (sold as Receiptor AI) is a capture tool, not the ledger. You connect Gmail, Outlook, or IMAP. It watches new mail for receipts and invoices in attachments, embedded HTML, and links. Snap paper through WhatsApp or iMessage, or drop a PDF in the web app. The extract pulls vendor, date, amount, tax, and line items. You review, then send to QuickBooks Online as a Bill or Expense, or to Xero as a Bill or Spend Money, with the original PDF attached. You still match the bank feed and lock the period in those books.
It does not replace QuickBooks Online or Xero. Kick is the opposite: Kick is the ledger. ExpenseBot is the cheaper Gmail-to-Sheets peer with a reviewed push. Dext is the bookkeeper-grade capture tool that publishes into those files. Expensify is snap-and-reimburse for a team. ReceiptsAI stops at CSV, Excel, or PDF. Shoeboxed is mail-in paper. Watch Gmail, Outlook, or IMAP
Connect one or more inboxes. Receiptor filters by allowed or blocked senders, then extracts receipts and invoices as mail arrives (help: typically a few minutes). Unlimited email accounts on every plan. Official help: it stores message IDs, not email bodies.
Retroactive inbox scan (separate bill)
Scan a past date range. The first workspace includes one free last-month extraction. Anything larger is a one-time quote priced per email scanned, not per document found. Pricing page: from $0.012/email at high volume. A monthly subscription does not include backlog.
WhatsApp and iMessage paper snaps
Connect a mobile number and send photos or PDFs in that chat. Each scanner gets a name so the slip is attributed. Unlimited mobile scanners on every plan. Pages opened this pass do not list a native iOS or Android app.
QuickBooks Online: match first, then Bill or Expense
OAuth to QuickBooks Online and import the chart. Receiptor looks for an existing Bill or Expense before creating one. A supplier invoice becomes a Bill. A confirmed paid receipt becomes an Expense against a bank or card account. The original PDF is attached. It pauses when matches conflict or totals do not reconcile. You still rec the QBO bank feed. QuickBooks Desktop is not documented.
Xero: Bills or Spend Money
OAuth to a Xero organisation. An invoice becomes a Bill (Draft by default). A confirmed paid receipt becomes Spend Money when the bank or card account is known. Same match-first rule. It pauses on tax, currency, or duplicate ambiguity. The PDF is attached.
Growth extras: Drive, API, Mercury attach
Growth ($79) and Scale add workspaces, Google Drive / Dropbox / Amazon S3 export, custom automations, business-entity matching, and API / MCP / CLI. Mercury: paste an API key; Receiptor attaches the source file to a matched Mercury transaction. That does not replace a Mercury-to-Xero bank feed.
Pricing
A solo inbox that stays under 50 extracted documents a month pays $29, or $290 a year. A 5-person shop with a few hundred receipts a month will outgrow Starter in week one. Growth is $79 with 250 documents; Scale is $199 with 1,000. Extra documents are $0.04 each on the public card. The catch-up scan is a separate quote priced per email (from $0.012 at high volume), so a years-long Gmail history is another bill on top of the subscription. The 14-day trial requires a card.
