Our take
- Best for
- Solo owners and freelancers whose receipts mostly arrive by email and who want one flat annual plan with unlimited documents, then a publish into QuickBooks Online.
- Not ideal if
- Anyone who needs production-grade Xero today (still beta, support-enabled), a team expense-and-reimburse tool, a mail-in paper service, or SparkReceipt to be the ledger.
- Standout
- OAuth inbox connect with a retroactive email-history sweep, so last year's Gmail receipts can land in one pass instead of a weekend of forwarding.
About SparkReceipt
SparkReceipt is a receipt cabinet, not the ledger. You connect Gmail, Outlook, or any IMAP inbox and it pulls receipts and invoices as they land, including a back-dated email-history pass (first 10,000 emails included on Elite). You can also snap paper in the iOS or Android app, forward to a SparkReceipt address, or drop in a PDF (mass upload up to 100 files). AI reads merchant, date, amount, tax, and line items. You match those files to a bank or card statement (upload PDF, CSV, or Excel; US bank feeds are beta via Stripe), then publish reviewed expenses to QuickBooks Online as Bills or Purchases, or download a PDF, Excel, or CSV for your CPA.
It does not replace QuickBooks Online or Xero. Kick is the opposite: Kick is the ledger. Dext is the bookkeeper-grade capture tool that publishes into QuickBooks Online or Xero without a support-chat gate. Expensify is snap-and-reimburse for a team. Shoeboxed mails paper for humans to scan. Neat is a US cabinet with a Yearly QuickBooks Online send and no inbox connect. ReceiptsAI is privacy-first and CSV-only. SparkReceipt's job is inbox-first capture plus one flat Elite plan for a solo owner or a tiny shop that still closes in QuickBooks.
People who stick are freelancers and 1–5 person shops whose receipts already live in email. They stay for the retroactive inbox sweep, unlimited documents on one annual price, and an accountant seat that does not eat the three included users. They accept that Xero is still beta (ask support to turn it on), that only one accounting connection can be live at a time, and that month-end is still a confirm-and-publish pass, not set-and-forget.
Pricing
Web checkout on 12 Sep 2026 is Elite at $99.99/year billed annually under a Back to Business 50% off promo (struck-through $16.65/mo). List price on the same card and on older QBO FAQ copy is $199.98/year. Extra users are $58/year after three included seats. VAT/GST is extra. A 5-person shop is Elite plus two extra seats ($99.99 + $116 if the promo holds). Statement extraction burns monthly credits (1 per line after a one-time 3,000-line allowance). Web signups get a 7-day trial, then read-only if they do not pay. App Store and older accounts still have a leftover free plan with a monthly scan allowance; do not treat that as the web path. App Store IAPs (Pro $8.99/mo, Pro $69.99/yr, Elite $99.00, credit packs) are a different price list. Buy on the website unless you already subscribe in-app.

Close is still in QuickBooks Online (or Xero if support enabled the beta). In SparkReceipt you confirm matches, fix merchant and category, then publish. Marketing says expenses sync automatically; help describes a publish step, and SparkAgent pauses before it sends. US bank feeds are beta. Statement upload works anywhere. You lock the period in the ledger, not here.
Invite the accountant (pricing page: free seat on top of the three included users). They can review, match, and run the QuickBooks publish. Or export PDF, Excel, or CSV, or share a time-limited link. SparkReceipt does not e-file the return or 1099s.
What people who used it say
What they tend to like
OCR that reads the wrinkled pile
Owners who tried other scanners say SparkReceipt gets faded or crumpled receipts far enough that the weekly job is a short review, not a retype.
Tax time is a report, not an inbox search
Set categories to match the return, snap or import all year, then print an expense report with the images attached.
The accountant can open the same file
Play reviewers stay because the CPA sees the receipts and reports without a bag of slips.
What they hesitate about
Some lines extract and still miss the monthly total
A Nov 2025 Play review says receipts showed in the record but did not add to the month total, so the owner still had to check everything.
Cancel and refund are a support ticket
A Jan 2026 Play review says downgrade goes to billing, cancel only stops the next charge, and a refund needed email. Help: web refunds are support; App Store refunds are Apple.
Not the tool for a high-volume AP stack
A 2024 r/Bookkeeping thread called SparkReceipt amazing and then dropped it because line items were missing. The product now advertises line-item extract on Elite, but it is still a tiny-shop cabinet, not Dext-for-800-invoices.
Features
- Connect the inbox, including last year's mail
- Authorize Gmail, Outlook, or any IMAP mailbox. New receipts and invoices land already read and categorized. Elite includes email-history extraction: pick a start date and the first 10,000 historical emails are included; larger inboxes run on credits and you see the cost before it runs. You can also forward to a personal SparkReceipt address if you do not want to connect the inbox.
- Snap, forward, or drop 100 files at once
- Photograph paper in the iOS or Android app, upload a PDF or image on the web, or mass-upload up to 100 documents. AI extracts merchant, date, amount, tax, currency, and line items. Elite has no document cap. One uploaded PDF is one receipt; split multi-receipt PDFs first.
- Match the statement, or a US bank feed
- Upload a bank or card statement as PDF, CSV, or Excel. SparkReceipt extracts each line and pairs it with a receipt it already has. Statement extraction costs 1 credit per line after a one-time 3,000-line allowance. US bank and card feeds (beta) import through Stripe Financial Connections so you skip the monthly file. Pricing copy says US only; help labels the feed beta.
- Publish to QuickBooks Online (Xero is beta)
- Connect QuickBooks Online from Integrations. SparkReceipt pulls categories, vendors, and customers, then you publish reviewed expenses as Bills (Accounts Payable account) or Purchases (bank or card account), with the image attached. Income publishes as invoices or sales receipts. Merchant and category are required or the publish is skipped. Xero is beta: ask in-app chat to turn it on. Only one accounting integration can be active at a time.
- Income, P&L, and a free accountant login
- Track income next to expenses, tag by client or project, and run an expense summary or P&L as PDF, Excel, or CSV (190 currencies). Invite your accountant on top of the three included users; the pricing page says that seat is free. Unlimited linked accounts keep a second LLC or a personal pile separate. This is not a replacement ledger. You still close in QuickBooks Online if that is the file.
- Mileage, SparkAgent, and plain-English rules
- Log trips by GPS on the phone or by hand, assign a vehicle or client, and export the mileage log with the receipts. Tell SparkReceipt a rule in plain English ("Shell is always Fuel") and later receipts file that way. SparkAgent can categorize, match, and stage a publish, then pauses for approval before it sends anything to QuickBooks or Xero.

Audience
Pick something else instead of SparkReceipt
Dext
Pick Dext instead if a bookkeeper needs coded supplier invoices and a production publish into QuickBooks Online or Xero. SparkReceipt's Xero path is still beta, and it is built for a solo inbox, not a firm-grade document queue.
Expensify
Pick Expensify instead if employees snap receipts and need reimbursements, approvals, and corporate cards. SparkReceipt is built for the owner and a couple of helpers, not a T&E team.
Shoeboxed
Pick Shoeboxed instead if the problem is a physical paper pile and you want to mail it in a prepaid envelope for humans to scan. SparkReceipt expects you to photograph, email, or upload the paper yourself.
