Our take
- Best for
- A US owner or bookkeeper with text PDF bank or card statements who needs a QuickBooks Online, QuickBooks Desktop, or Xero import file, including catch-up months and Desktop 2023 after Web Connect uploads stopped.
- Not ideal if
- The bank feed already fills QuickBooks or Xero, the PDF is a scan or a phone photo, or you need invoices and receipts posted as bills. It is also a poor fit if you wanted a connected app instead of a file you import.
- Standout
- The PDF is checked against the statement's own opening and closing balance, or the card's new balance, before you pay, and one credit unlocks every export of that statement.
About Utilly
Utilly turns a text PDF from online banking into a file you import yourself. You upload the statement (up to 20 MB). It reads every row and checks opening balance plus transactions against the closing balance. On a credit card it checks previous balance, payments, charges, fees, and interest against the new balance, and it shows Balanced or the exact gap before you pay. One credit unlocks CSV, Excel, a QuickBooks .QBO file, QuickBooks Online's 3-column CSV, an .IIF file, a Xero statement CSV, and a Quicken .QIF. You import that file in QuickBooks Online, QuickBooks Desktop, or Xero, then categorize and reconcile there.
It does not keep the books, and it does not connect to the bank. DocuClipper also checks statement math, and it reads scans and invoices and can push lines into QuickBooks Online or Xero. Lido extracts mixed PDFs, including scans, into a spreadsheet you export yourself. QBO Ready turns a CSV or Excel file into a .qbo in the browser and does not read PDFs. QuickBooks Online can extract an English PDF or a photo on its own, with a side-by-side review, and Intuit says some of those statements wait for a person to check them. Utilly is the download you use when you want the balance proven first, when Desktop 2023 will no longer take a Web Connect upload, or when you also want the rows in Excel.
People who stick are catching up statements the feed will not pull, or working a bank that never connects. The preview shows the balance check and the first five rows with no account. Credits do not expire, so a bookkeeper can spend one pack across client PDFs and import each file into that client's company. The PDF is read in memory, and the extracted rows are deleted within an hour.
Pricing
Free preview shows the balance check and the first 5 rows, no account. A full PDF is one credit, not one page: $9 for 5 credits that do not expire, or Pro at $19/month for unlimited statements (renews in Stripe until you cancel). A shop with two bank accounts and two cards gets a bit over a month from one $9 pack, so Pro costs more than packs. Thirty client statements is $19 on Pro, or $54 in packs. CSV, Excel, and OFX are free up to 100 rows. A larger file is one credit, up to 20,000 rows. No per-seat fee. Refund if a paid file fails the balance check and support cannot fix it.

If the bank feed is connected, you do not use this at close. For a missing month, confirm the file says Balanced, import only dates that are not already in the account, then categorize and reconcile in QuickBooks or Xero. When you upload Utilly's .QBO or CSV, Intuit caps those list files at 1,000 lines and 350 KB.
You can send the CSV or Excel download and the original PDF. There is no year-end package, no 1099 file, and nothing posts into the books for you.
Features
- Check the balance before you pay
- Upload a text PDF up to 20 MB. Utilly shows Balanced or the exact gap, plus the first 5 transactions, with no account. You spend a credit only if you unlock the full file. Scans and phone photos are not supported. OCR is on the roadmap.
- One credit, every import file
- Unlocking a statement downloads CSV, Excel, a .QBO Web Connect file, QuickBooks Online's 3-column CSV (Date, Description, Amount), an .IIF, a Xero CSV with year-first dates, and a Quicken .QIF. Import only dates that are not already in the account. An overlap with the bank feed creates duplicates.
- Card charges signed against the new balance
- On Amex, Chase, Capital One, and Citi card PDFs, charges, fees, and interest come out negative. Payments and statement credits come out positive. The check is previous balance, minus payments and credits, plus charges, fees, and interest, equals the new balance. Summary totals are not copied as extra rows.
- Desktop 2023 through an IIF file
- Supported Desktop versions import the .QBO under Banking, Bank Feeds, Import Web Connect Files. After May 31, 2026, Desktop 2023 no longer uploads Web Connect files. Download the .IIF and import it under File, Utilities, Import, IIF Files. On a card statement, type the account name from the Chart of Accounts first. A blank name posts to Credit Card.
- CSV, Excel, or OFX when you already have a file
- The converter at /csv-to-qbo is free up to 100 rows, with no sign-up. You check the date, description, and amount columns, flip signs, and mark a card account. Files over 100 rows use one credit from the same pack, up to 20,000 rows. Pro covers those larger files.
- Free checkers before the ledger sees the file
- A balance checker, an IIF checker, and a QuickBooks Online CSV checker run in the browser. The CSV checker flags extra columns, zeros, mixed dates, and Intuit's 350 KB and 1,000-line upload limits, then gives you a clean 3-column file.

Pick something else instead of Utilly
DocuClipper
Pick DocuClipper instead if the statements are scans or phone photos, you also need invoice PDFs pushed into QuickBooks Online or Xero, or you want a live connection instead of a file download. DocuClipper bills by the page.
Lido
Pick Lido instead if the pile is mixed documents (invoices, statements, tax packets), including scans, and you want the rows in a spreadsheet before you export a .qbo or CSV.
QBO Ready
Pick QBO Ready instead if the bank already gave you CSV or Excel and you only need a .qbo file. The free converter runs in the browser with no row cap. It does not read PDFs or write IIF.
